Mon - Fri 6am-230pm $18-$19 (DOE)
Job Summary:
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
Duties/Responsibilities:
• Answers and transfers phone calls, screening when necessary.
• Welcome and directs visitors and clients.
• Able to enter and maintain data into computer systems
• Maintains filing systems as assigned.
• Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
• Responds to and resolves administrative inquiries and questions.
• Able to do project management duties by entering data, tracking data, and reporting accurate information to departments.
• Interact with customers via telephone, email, online chat, or in person to provide support and information on products or services.
• Collects and enters orders for new or additional products or services.
• Fields customer questions and complaints, when the issue is beyond the representative’s knowledge, forwards to the assigned specialist or other appropriate staff.
• Ensure that appropriate actions are taken to resolve customers problems and concerns.
• Maintains customer accounts and records of customer interactions with details of inquiries, complaints, or comments.
• Performs other related duties as assigned.
• Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
• Prepare agendas and schedules for meetings.
• Records and distributes records for meetings.
• Maintains office supplies and coordinates maintenance of office equipment.
• Performs other related duties as assigned.
Required Skills/Abilities:
• Excellent communication skills including active listening and written communication skills.
• Service-oriented and able to resolve customer grievances.
• Proficient computer skills with the ability to learn new software.
• Excellent interpersonal and customer service skills.
• Proficient in Microsoft Office Suite or related software.
• Excellent organizational skills and attention to detail.
• Basic understanding of clerical procedures and systems such as recordkeeping and filing.
