Estate Planning Paralegal / Legal Assistant

What You’ll Be Doing:
- Prepare and assemble living trusts, wills, deeds, and health care documents (Property Power of Attorney, Mental Health Care Power of Attorney, HIPAA Authorizations, Living Wills).
- Review intake forms and input key information into the client management system; follow up for clarification.
- Conduct final client calls to confirm names and beneficiary details.
- Explain estate planning documents to clients, gather signatures, and answer general questions (without offering legal advice).
- Assemble binders, copy, scan, and digitally organize signed documents.
- Record detailed notes in the client management system after each signing meeting.
- Conduct client-facing Asset Review Meetings to gather asset details.
- Assist with court pleadings, client/financial correspondence, out-of-office signings, and various administrative and document-related tasks.
- Help coordinate reviews, assist with enrollment, and support client events and firm workshops.
About You:
- You’re a multi-year paralegal or legal assistant with a desire to learn, be coached, and grow. *While our ideal candidate has experience as a Paralegal/Legal Assistant in Estate Planning or Estate Administration, we are also open to individuals with strong professional backgrounds who demonstrate initiative, attention to detail, and a client-focused mindset.
- You type 55+ WPM and have strong word processing, spelling, grammar, and proofreading skills .
- You demonstrate knowledge of estate planning documents and can explain them clearly and professionally to clients.
- You’re organized, detail-oriented, and able to manage competing deadlines.
- You take ownership of your tasks, are dependable, and maintain professionalism in all client-facing situations.
- You’re adaptable, collaborative, and approach challenges with a solution-oriented mindset.
- You have intermediate experience with Microsoft Outlook, Word, and Excel, and are comfortable learning new systems including practice management software.
- You respect confidentiality, exercise sound judgment, and align with strong core values.
