Mechanical Project Manager / Estimator – Commercial HVAC

Full-Time | In-Person | $80,000 - $90,000; DOE

You understand commercial HVAC construction because you've lived it. You know how to read plans, identify scope gaps, anticipate problems before they happen, and develop accurate estimates that position projects to succeed. Once a project is awarded, you stay engaged—guiding it from kickoff through closeout while keeping budgets, schedules, customers, and field teams moving in the same direction.
You're calm under pressure and difficult deadlines don't rattle you. Instead of reacting to problems, you anticipate them. You're organized, pragmatic, and proactive, constantly looking several steps ahead so projects continue moving forward.
Most importantly, you finish what you start.
You don't let projects stall waiting on submittals, change orders, material deliveries, or unanswered emails. You create momentum, remove obstacles, communicate clearly, and keep projects moving toward successful completion. You understand that winning profitable work is important—but finishing it well is what builds long-term customer relationships.

We partner with general contractors, building owners, and engineers to design, install, and deliver high-performing commercial HVAC systems for new construction, tenant improvements, renovations, and specialty projects.
As our construction division continues to grow, we are seeking an experienced Mechanical Project Manager / Estimator to prepare accurate commercial HVAC estimates while successfully managing awarded projects through completion.
Job Summary
This position combines both estimating and project management responsibilities within our commercial HVAC construction division.
The Mechanical Project Manager / Estimator is responsible for reviewing construction drawings and specifications, preparing accurate bids, coordinating with vendors and subcontractors, negotiating project details, and managing awarded projects from contract execution through final closeout.
The successful candidate is highly organized, proactive, and solutions-focused. They understand commercial HVAC construction, project sequencing, budgeting, scheduling, customer communication, and financial accountability. This individual consistently keeps projects moving forward while maintaining strong relationships with customers, field teams, vendors, and office staff.
Key Responsibilities
Estimating & Preconstruction
- Review construction drawings, specifications, addenda, and bid documents to determine project scope, constructability, and overall project fit.
- Perform detailed quantity take-offs and prepare accurate commercial HVAC estimates for projects ranging from approximately $10,000 to $3 million.
- Solicit and evaluate vendor and subcontractor pricing.
- Develop conceptual budgets, value engineering recommendations, and alternate pricing as requested.
- Prepare complete bid packages and participate in bid review meetings.
- Identify potential project risks, scope gaps, scheduling concerns, and constructability issues before submitting bids.
- Maintain estimating databases, labor units, historical costs, and pricing information to improve estimating accuracy.
Project Management
- Manage awarded commercial HVAC projects from startup through final completion and closeout.
- Coordinate labor, equipment, materials, subcontractors, and project schedules.
- Monitor project budgets, profitability, labor productivity, and job costs throughout each project.
- Process submittals, RFIs, purchase orders, change orders, and project documentation.
- Coordinate closely with field supervisors, foremen, and office staff to ensure projects remain on schedule.
- Anticipate obstacles before they impact schedules or profitability and develop practical solutions.
- Maintain constant awareness of project status, including upcoming milestones, material deliveries, inspections, financial performance, and closeout requirements.
- Ensure projects are completed safely, on schedule, within budget, and according to company quality standards.
Customer Service & Communication
- Serve as the primary point of contact for general contractors, engineers, owners, vendors, and subcontractors.
- Build strong working relationships through professionalism, responsiveness, and accountability.
- Communicate proactively regarding schedules, project progress, change orders, delays, and project challenges.
- Represent the company professionally throughout every phase of each project.
- Deliver a high-quality customer experience that leads to repeat business and long-term relationships.
Administrative & Technical Responsibilities
- Maintain accurate project documentation including contracts, submittals, RFIs, purchase orders, change orders, meeting notes, and project files.
- Utilize estimating software, Microsoft Office, tablets, email, and project management technology for communication, scheduling, reporting, and documentation.
- Track project financials, forecasting, and profitability throughout each phase of construction.
- Continue developing estimating methods, construction knowledge, and familiarity with new HVAC technologies and industry best practices.
Qualifications
Required
- Minimum 3–5 years of commercial HVAC estimating and/or project management experience.
- Strong understanding of commercial mechanical systems, HVAC construction practices, blueprints, specifications, and project sequencing.
- Proven experience estimating and managing commercial HVAC projects from preconstruction through closeout.
- Demonstrated ability to manage multiple active commercial projects while balancing competing priorities and deadlines.
- Strong financial understanding including budgeting, job costing, forecasting, and change order management.
- Excellent written and verbal communication skills.
- Proficiency using Microsoft Outlook, Word, Excel, smartphones, and construction technology.
- Exceptional organizational skills, attention to detail, professionalism, and follow-through.
- Valid driver's license with a clean driving record and ability to pass a background check.
Preferred
- Experience with Bluebeam, Accubid, FastPIPE, FastDUCT, Trimble, or similar estimating software.
- Previous field experience in commercial HVAC installation or mechanical construction.
- Associate's or Bachelor's degree in Construction Management, Mechanical Engineering, or related field.
- Design-Build project experience.
- Experience working directly with General Contractors on commercial construction projects.

Monday-Friday, generally 7:00 a.m. – 4:00 p.m.
Greater Phoenix area.
