Status: Full-time

Location: Remote/W2 - some travel

Position Overview

Are You the Assertive Organizer Who Gets Things Done?

If you thrive on bringing structure, precision, and foresight to fast-moving environments, this role is for you. We’re looking for an experienced, proactive, and detail-obsessed Executive Assistant to support the CEO of Rain Media.

This isn’t a reactive admin role, it’s for someone who anticipates needs, takes initiative, and ensures every aspect of the CEO’s professional life runs seamlessly. You’ll manage calendars, inboxes, and communications while handling personal logistics like travel, wellness, and household coordination with complete discretion and trust.

If you’re assertive, highly organized, and thrive on making things happen without needing to be told twice, keep reading. If you need constant direction, avoid accountability, or struggle to prioritize, this isn’t for you.

Who We Are: Rain Media & Organics Ocean

We are a premium direct-to-consumer supplement brand helping people live healthier lives through science-backed, clean, and effective products.

We’re not a company where things stay the same. We test, we optimize, we innovate, and we want someone who thrives in that kind of high-accountability, fast-paced environment.

Why join our team?

High-growth eCommerce brand: Driven by innovation and fast execution, Organics Ocean has seen 350% year over year growth.

Ownership & Accountability: We trust our team members to take full ownership of their responsibilities. You are empowered to lead, execute, and improve without micromanagement. We value individuals who take initiative, hold themselves accountable, and drive meaningful results.

A team of high performers: We push boundaries, move fast, and get things done. The company is in a hockey stick growth phase. This is not a good fit for those who don’t want to grow. Learn more about us via our brand, Organics Ocean: HERE.

Responsibilities

Executive Support

  • Manage the CEO’s calendar, email, travel, and meetings with accuracy and confidentiality.
  • Proactively anticipate needs, prepare agendas, materials, and logistics before being asked.
  • Coordinate internal and external communication on behalf of the CEO to ensure alignment.
  • Track follow-ups, priorities, and deliverables to keep projects moving.
  • Help prepare slide decks, presentations, or briefing notes when needed.
  • Research and secure industry-specific podcast interviews for the CEO

Financial Coordination

  • Gather and organize tax documents; liaise with the CPA.
  • Track expenses, pay bills, and coordinate with financial advisors.

Travel & Calendar Management

  • Arrange all travel: flights, accommodations, ground transport, and itineraries.
  • Ensure travel aligns with both business priorities and personal preferences.
  • Prioritize and gatekeep the CEO’s time, ensuring focus on what matters most.

Requirements

  • 6+ years supporting C-suite executives (CEO, Founder, or President level).
  • Proven experience handling professional tasks with confidentiality.

  • Excellent written and verbal communication skills.
  • Tech-savvy, familiar with Slack, ClickUp, Dropbox, and Zoom.

Attributes

  • Assertive, proactive, and decisive.
  • Highly detail-oriented and reliable.
  • Forward-thinking and resourceful, you anticipate rather than react.
  • Adaptable, self-directed, and confident in managing competing priorities.

Tools You Will Use

Slack, ClickUp, Google Meets, Google Workspace, and Dropbox

Details

  • Location: Remote; Must be able to travel when needed, including for company events, off-site leadership meetings, and occasional international trips.
  • Compensation: $100,000 – $130,000 USD (DOE)
  • Reports to: CEO, with onboarding support from Operations
  • Hours: Full-time, flexible, U.S. business hours that overlap with Pacific Time

Cultural Pillars

  • Accountability: Take full ownership of your responsibilities and their outcomes. You commit to seeing work through, accepting both successes and failures, and continuously learning and improving along the way. Accountability requires visibility, we make work visible by default through clear processes, documentation, and open communication so leaders have line of sight, teams stay aligned, and issues are identified early.
  • Operational Excellence: We believe in a strong foundation and scalable business. In e-commerce, every action becomes a building block, and small cracks compound quickly as we grow. We prioritize building reliable processes, systems, and standards that hold up under scale. We fix breakdowns early, design for consistency, and execute with discipline so growth doesn’t introduce chaos.
  • Clarity & Trust: Clarity builds trust, and it goes both ways. Leaders are responsible for setting clear expectations, priorities, and context. Team members are responsible for asking questions, raising their hands, and seeking clarity when something is unclear. When clarity is actively given and actively sought, trust grows, decisions improve, and teams move faster together.
  • Efficient Leverage: Efficient leverage means doing the right work, not more work. We challenge the status quo, explore better ways of working, and speak up when we see opportunities to improve. We value fresh thinking, but apply it with intention, building systems, getting to decisions, and creating leverage that drives meaningful impact. Through innovation paired with discipline, we pull the right levers to move the business forward and scale sustainably.
  • Move Fast and Persevere: We push forward with speed and determination, even when things get tough. In the fast-paced world of e-commerce and startups, challenges are inevitable. Success comes from acting quickly, adapting, and staying resilient when obstacles arise. We don’t slow down when things get hard, we press through and keep moving forward.
