Academic Personnel Specialist
The Sandra Day O'Connor College of Law seeks a dynamic individual to be an Academic Personnel Specialist. This position will provide high-level administrative support for academic personnel HR management. Works with the HR Manager and college administrators to provide support for academic personnel activities including faculty hiring and renewal adjunct and other affiliate appointment types, and other related duties as assigned. This position will also support academic personnel HR activities and general operations such as record management and payroll, including processing payroll transactions and supplemental pay, and related administrative duties. Serves as resource to staff, faculty and ASU Law leadership on academic personnel HR general or policy questions. Point of contact on complex academic personnel HR issues, such as researching issues, gathering data, and providing details.

02Essential Duties
- Monitors process and related policies, and coordinates dates and meetings, and submitted items for academic personnel and adjunct, visiting scholar, and other affiliate appointments, and related administrative duties.
- Ensures established university academic personnel policies and procedures are followed.
- Consults with staff and others to coordinate, provide technical advice, and provide problem-solving assistance as it pertains to academic personnel processes; ensures appropriate approvals and processes are followed.
- Reviews all faculty personnel requests to ensure compliance with established standards/criteria prior to submittal. Composes offer letters, forms, and other academic correspondence for signature to ensure timely and accurate completion and distribution of all applicable documents.
- Participates in meetings and conferences pertinent to area of responsibility.
- Coordinates academic personnel processes, ensures appropriate approvals are obtained, and maintains academic personnel files consistent with University policies and practices.
- Uses PeopleSoft to gather employee data and research payroll issues, and process payroll transactions. Assists with any other special projects and duties as assigned by the HR Manager.
- Serves as a resource to other staff and faculty on academic personnel HR general or policy questions.
- Acts as point of contact on complex academic personnel HR issues, such as researching issues, gathering data, and providing details.
- Assists HR Manager and department with confidential and highly sensitive personnel matters and projects. Assists with academic personnel data reports as assigned.
- Acts as contact for academic personnel process and policies for un-paid affiliated academic positions (ie. adjunct, visiting scholars, volunteer faculty and students, and internal faculty affiliations), outside consulting disclosures, out of state notifications, college directory updates,
- Processes notice of appointments, part-time teaching appointments, resignations/retirements, supplemental payments, and other academic personnel processes and policies as assigned.
- Cross-trains and serves as back-up for other academic personnel processes including promotion and tenure, faculty annual evaluations, recruiting, hiring and on-boarding, and other areas as needed.
- Maintains priorities and status of projects and follows up on pending matters ensures accuracy on all documentation, with an attention to detail.
- Cross-trains to support needs of the Law HR team.
- Physical presence at the workplace is an essential function or requirement of this position.
- Performing other duties as assigned to support the goals of the department/college.
Minimum Qualifications
Bachelor's degree and four (4) years administrative support experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Demonstrated knowledge of academic personnel HR processes and policies.
- Experience working in a higher education environment.
- Experience with ASU Academic Personnel human resources software (i.e., PeopleSoft including HR, CS, and Affiliate Management System; Workday; Interfolio/APARS, etc.).
- Experience in exercising discretion in confidential personnel matters.
- Experience in personnel transactions programs by determining timing, place and sequence of actions necessary to accomplish goals and meet deadlines.
- Experience in using writing skills sufficient to compose letters and correspondence for prospective and existing adjunct and affiliated faculty, visiting scholars, and college's faculty or administrators.
- Experience with payroll including processing payroll transactions in PeopleSoft and/or Workday.
- Evidence of effective communication and interpersonal skills at all levels including faculty and college administration.
- Experience working in a fast-paced dynamic environment subject to quickly changing priorities and potentially conflicting deadlines.
- Ability to work independently and solve complex academic personnel questions or issues.
- Experience in on-boarding and processing visa applications (eg. J1, H1-B).
- Experience with process and policies for un-paid affiliated academic positions (ie. adjunct, visiting scholars, volunteer faculty, and internal faculty affiliations).
- Experience with administrative functions such as coordinating and scheduling meetings, electronic filing, reporting and data audits, creating and editing forms and using related tools such as Adobe Sign, Adobe Acrobat DC, ASU Data Analytics and reporting, Excel, and Word.
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
- Required to stand for varying lengths of time and walk moderate distances to perform work.
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate to perform essential functions.
