Office Manager

Description We are looking for an organized and proactive Office Manager to join our team in Scottsdale, Arizona. In this Contract-to-Permanent position, you will play a key role in ensuring the efficient operation of our office, maintaining facilities, and planning both internal and external events. This role requires a hands-on approach to setting up systems, managing vendors, and facilitating communication with building maintenance during the final stages of office construction. Responsibilities: - Event Planning and Execution: Coordinate external-facing events - Oversee day-to-day office operations, ensuring a well-organized and functional workspace. - Evaluate office needs and procure necessary supplies, including cabinets and storage solutions. - Coordinate with building maintenance and service providers to address construction-related issues. - Support one executive leader by managing administrative tasks and priorities. - Establish and maintain systems for office snacks and kitchen supplies. - Partner with vendors to ensure timely delivery of goods and services. - Facilitate mail handling and courier shipments to ensure smooth communication flows. - Organize and manage logistics for internal and external events, including catering and venue arrangements. - Ensure a welcoming front desk presence while managing visitor scheduling and lobby organization. Requirements - Proven experience in office management or facilities coordination. - Strong ability to evaluate office needs and implement solutions efficiently. - Excellent organizational skills with attention to detail. - Ability to communicate effectively with vendors, building management, and service providers. - Experience in event planning and coordination, including catering and venue logistics. - Proficiency in managing office supplies and maintaining inventory. - Familiarity with administrative tasks such as filing, scanning, and recordkeeping. - Capability to provide executive-level support and prioritize tasks effectively.
