Administrative Assistant
• Answer phones and respond to customer requests.
• Prepare hours worked for payroll preparation.
• Handle paperwork associated with water samples.
• Monitor expense reporting deadlines and coordinate reimbursements.
• Provide local assistance for corporate Human Resources.
• Update vehicle maintenance schedules.
• Arrange for mail and courier pick-ups and deliveries.
• Assist with communication efforts between supervisory and field personnel.
• Maintain various operational reports such as cash collections.
• Assist with parts ordering and inventory control.
• Reconcile local bank account.
• Sort cash and coins, using automated currency-counting machinery.
• Maintain organization and cleanliness of office area and additional areas as needed.
• Assist managers with special projects such as employee functions as requested.
• May assist occasionally with field projects such as cleaning a refill station or working on a promotional event.
• Must be able to multi-task and be flexible as changes occur.
• Other duties as assigned. QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES • Team player with positive attitude
• Attention to detail and task completion
• General office skills including filing, typing, and data entry
• Efficient working knowledge of MS Office (Word, Excel, Outlook)
• Excellent written and oral communication skills
• Ability to answer telephone and direct calls as required
• Basic understanding of account reconciliation, time worked reporting, and inventory control
• Competent with counting and handling money
• Bilingual English/Spanish a plus
• Capable of working required schedule PHYSICAL REQUIREMENTS • Ability to lift 25 pounds
• Ability to sit and stand for long periods of time
• Ability able to use hands repetitively
• Capable of climbing ladders, walking, standing, stooping and bending.
• Ability to work overtime including some weekend or evening work EDUCATION, EXPERIENCE AND CERTIFICATES • High School Diploma or equivalent
