Position Summary

The Logistics Specialist is responsible for managing the worldwide movement of high-value medical equipment and components. This role ensures shipments are executed efficiently, cost-effectively, and in full compliance with international regulations — including dangerous goods, lithium-ion battery shipping, and FDA requirements.

The coordinator serves as the central point of contact between customers, warehouse staff, carriers, and internal teams to guarantee timely delivery, accurate documentation, and seamless logistics execution. This role is critical to supporting patient care, minimizing delays, and maintaining compliance across global supply chains.

Key Responsibilities

  • International & Domestic Logistics Management
  • Arrange, track, and optimize shipments (air, ocean, and ground).
  • Prepare and review documentation including commercial invoices, APOs, EEIs, power of attorney, and certificates of conformance.
  • Oversee customs declarations and coordinate with brokers to prevent delays.
  • Monitor shipments in real time, proactively resolving in-transit issues.
  • Regulatory Compliance
  • Maintain certifications for shipping Dangerous Goods (IATA/IMDG) and lithium-ion batteries.
  • Ensure compliance with FDA, TSA, IATA, and U.S. Customs regulations.
  • Partner with carriers to ensure safe handling and regulatory adherence for sensitive medical equipment.
  • Customer & Internal Coordination
  • Act as primary logistics contact for customers and internal stakeholders.
  • Provide proactive updates on order status, exceptions, and resolutions.
  • Collaborate with warehouse, Quality Assurance, and Customer Support teams to coordinate shipments and returns.
  • Manage RMAs (domestic and international), ensuring cost-effective and compliant return processes.
  • Process Improvement & Cost Management
  • Identify and implement improvements to shipping workflows.
  • Research, evaluate, and negotiate freight rates and contracts
  • Develop SOPs and best practices to reduce errors, delays, and costs.
  • Support scalability of operations without overloading existing staff.

Qualifications & Requirements

  • Certifications & Knowledge
  • Active Dangerous Goods Certification (IATA/IMDG) required.
  • Knowledge of lithium-ion battery shipping requirements.
  • Strong understanding of U.S. and international trade regulations, tariffs, and duties.
  • Skills & Experience
  • Minimum 3 years of experience in global logistics, international shipping, or supply chain.
  • Demonstrated success handling complex, high-value, or regulated shipments.
  • Excellent problem-solving skills and ability to make quick decisions under pressure.
  • Strong organizational skills with exceptional attention to detail.
  • Clear and professional written and verbal communication; customer-facing experience preferred.
  • Proficiency in ERP/logistics systems and Microsoft Office Suite.
