Job Summary: We are seeking a professional and organized Receptionist to join our Professional Employer Organization (PEO) company. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while efficiently managing administrative tasks. This position plays a crucial role in maintaining the professional image of our PEO company and ensuring smooth daily operations. The ideal candidate will be detail-oriented, personable, and committed to providing excellent service to both internal and external stakeholders.
Key Responsibilities:
Reception and Customer Service
- Greet and direct visitors, clients, and job applicants in a professional manner
- Answer and manage incoming phone calls, emails, and other communications
- Provide basic information about PEO services to inquiring clients and visitors
Administrative Support
- Schedule and coordinate meetings for executives and staff members
- Manage and maintain the reception area, conference rooms, and common areas
- Handle incoming and outgoing mail and packages
- Assist with data entry and maintenance of client databases
Document Management
- Process and distribute employee-related documents such as handbooks and benefits information
- Maintain organized filing systems for both physical and digital documents
- Assist with the preparation of reports and presentations as needed
Security and Compliance
- Ensure visitors sign in and receive appropriate badges
- Monitor and control access to the office space
- Adhere to company policies and procedures regarding confidentiality and date protection
Additional Duties
- Provide general support to various departments such as accounting, benefits, HR, and sales as needed
- Participate in training sessions to stay updated on PEO industry trends and company services
- Perform other related duties as assigned by management
Qualifications:
- High school diploma or equivalent; Associate degree preferred
- 1-3 years of experience in a receptionist or administrative role
- Proficiency in Microsoft Office Suite and familiarity with CRM systems
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Professional appearance and demeanor
- Knowledge of PEO industry a plus
Physical Requirements:
- Ability to sit for extended periods
- Occasional lifting of up to 20 pounds Extended use of computer and phone systems
