JUDICIAL ADMINISTRATIVE ASSISTANT

Full Time Unclassified (At-Will) Position
Position is Open until Filled
MINIMUM QUALIFICATIONS: High school diploma or GED certificate and five years experience in performing administrative or legal assistance work or any combination of academic education, professional training or work experience which demonstrates the potential to perform the duties of the position. Minimum typing speed of 50 words per minute (certificate of proficiency dated within the last six months must accompany application). Applicants must submit to criminal history background check and fingerprinting. Position may require a valid Arizona driver's license within 30 days of employment.
DISTINGUISHING CHARACTERISTICS: This is an unclassified and FLSA exempt court position which reports to a Superior Court Judge. Performs duties under the direct supervision of the judge. The position has no supervisory responsibilities.
PREFERENCE: May be given to individuals with previous court or legal experience.
TYPICAL DUTIES : (Illustrative Only) Performs administrative work for a Superior Court Judge in a diverse and challenging Superior Court Division. Schedules and maintains calendar for trials, hearings, and other division and judicial related matters; reviews minute entries and other court documents for accuracy and content, publish and distribute weekly calendar, remote court reporting coordination, resolve scheduling conflicts and coordinate calendar changes as appropriate, prepare legal documents, memoranda and correspondence that is confidential in nature; checks case files for completeness and accuracy and prepare documents using knowledge of the legal and judicial processes; coordinates activities with attorneys, Court Administration and other divisions of the Cochise County Superior Court; answers questions from the public and attorneys as permitted, maintains office files, complete a monthly and yearly statistical file review, makes travel and lodging arrangements and performs other support activities as required or assigned.
KNOWLEDGE, SKILLS & ABILITIES :
Working knowledge of:
- Principles and practices of office administration.
- Legal terminology and the operations of the judicial system.
- Guidelines, regulations, and statutes affecting the judicial system.
- Business English, spelling, and grammar.
Working Skill in:
- Word processors, scanning, faxing, emailing.
Ability to:
- Prepare clear and comprehensive reports.
- Establish and maintain effective working relationships with other court employees, other agencies, and the public.
- Follow written and verbal instruction.
- Communicate effectively verbally and in writing.
PHYSICAL DEMANDS / WORKING CONDITIONS :
Typically performs duties in an office environment and may lift materials and/or equipment 25 pounds or less.
