Position Highlights
The Graduate Coordinator works in the Office of Student & Academic Affairs (OSAA) and manages high‑level administrative and operational support for approximately 500 doctoral nursing students. The position oversees core doctoral program operations, including coordinating doctoral defenses, processing required program forms, tracking milestones, monitoring compliance, managing communications, and supporting faculty with program-related processes. The role operates independently while collaborating closely with faculty and the Graduate College to ensure accurate, efficient, and policy‑aligned program operations.

Duties & Responsibilities
Graduate Program Administration
- Manages doctoral defenses; processes required program forms; maintains accurate student records; tracks academic milestones; manages onboarding, progression, and graduation-related administrative processes; ensures timely and accurate flow of information between students, faculty, and the Graduate College.
Operational Systems & Compliance
- Uses UAccess, GradPath, and other systems to track student progress and manage program data. Ensures program adherence to Graduate College policies, accreditation expectations, and internal procedures. Develops and maintains templates, guides, and checklists that support efficient and consistent program operations.
Faculty & Partner Collaboration
- Serves as the primary administrative resource for faculty on timelines, requirements, and processes. Coordinates documentation and approvals related to committee formation, transfer credit reviews, and doctoral milestones. Collaborates with the Graduate College and campus partners to resolve procedural issues.
Communication
- Prepares and distributes program communications, including timelines and reminders. Responds to student inquiries regarding administrative steps, documentation, and deadlines. When questions require academic guidance, refers to Faculty Advisor.
Recommends workflow improvements
- Assists in onboarding new staff; contributes to OSAA’s collaborative and student-centered culture. Participates in all OSAA student‑related events, including Convocation, Honors Mixer, and Admitted Students Day, even when doctoral students are not involved.
Knowledge, Skills and Abilities:
- Knowledge of doctoral program structures, policies, and accreditation standards.
- Understanding of strategic planning processes in higher education.
- Knowledge of data analysis and reporting to support program decision-making.
- Familiarity with enrollment management and student lifecycle trends.
- Comprehensive understanding of higher education administrative processes and graduate program operations.
- Knowledge of Graduate College policies, academic milestones, and compliance requirements.
- Familiarity with student information systems, workflow tracking tools, and data management practices.
- Strong written and verbal communication skills, including the ability to convey information clearly and professionally.
- High proficiency with spreadsheets, databases, and digital organizational tools.
- Effective time management skills with the ability to balance multiple priorities and deadlines.
- Skill in identifying inefficiencies and contributing to process improvement.
- Ability to influence and support decision-making among faculty and leadership.
- Ability to develop and implement new processes or initiatives.
- Ability to work independently, exercise sound judgment, and manage complex administrative tasks with accuracy.
- Ability to collaborate effectively with faculty, staff, and campus partners.
- Ability to maintain confidentiality, professionalism, and composure in a fast paced environment.
- Ability to apply empathy, cultural awareness, and OSAA values when engaging with colleagues, faculty, and students.
- Ability to adapt to evolving systems, procedures, and institutional expectations.
- Demonstrated ability to manage high-volume administrative processes with accuracy and independence.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.

Minimum Qualifications
- Bachelor’s degree or equivalent advanced learning attained through professional experience.
- Minimum of 5 years of relevant administrative, academic program, or student services experience, or equivalent combination of education and experience.
Preferred Qualifications
- Master’s Degree.
- Proficiency with administrative systems, databases, spreadsheets, and standard office software.
- Experience working with the U of A Graduate College policies, processes, and systems.
- Experience supporting online or hybrid student populations, especially doctoral students.
- Familiarity with UAccess, GradPath, or comparable systems.

In compliance with the Jeanne Clery Campus Safety Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University’s campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
