Position Summary:
The Project Coordinator supports Project Managers and project teams by coordinating administrative, scheduling, and documentation activities throughout the project lifecycle. This role is responsible for maintaining accurate project records, supporting communication between internal and external stakeholders, and assisting with day-to-day project operations. The Project Coordinator contributes to the organization’s success by ensuring projects are organized, compliant, and progressing according to established processes and timelines.

Essential Function and Responsibilities
Project Documentation Management: Manage and maintain all project documentation including permits, certificates of insurance (COIs), CCIP/OCIP documentation, special insurance requests, safety plans, and closeout and warranty documents. Ensure accuracy, completeness, and timely filing of all records in ShareFile.Project Coordination & Administrative Support: Provide day-to-day administrative support to Project Managers by preparing purchase order requests, subcontractor paperwork, welcome letters, and field folder materials. Support overall project organization and execution.
Scheduling & Tracking: Maintain and update internal and external project schedules. Manage pod job flow spreadsheets and labor tracking data entry to support project visibility, reporting, and workload planning.
Change Order & Documentation Follow-Up: Track, monitor, and follow-up on change orders and outstanding project documentation to ensure timely resolution and compliance with project requirements.
Meetings & Communication Support: Coordinate and support internal and external project meetings, including pre-construction meetings. Prepare agendas, capture meeting minutes, and distribute follow-up action items to ensure alignment and accountability.
Cross-Functional Collaboration: Collaborate with Project Managers, Field Operations and Superintendents, Accounting and Finance, Safety and Compliance teams, and subcontractors to coordinate information flow, documentation, and project support activities.
Operational Efficiency & Compliance: Support consistent project execution by promoting operational discipline, documentation standards, and compliance requirements. Enable Project Managers and field teams to focus on execution and delivery by reducing administrative burden and improving workflow efficiency.
Performs related duties within the scope of the role and level of responsibility as needed to support business operations.
Skills and Qualifications:
- High school diploma or equivalent required
- Associate degree or relevant coursework preferred
- 3-5 years of administrative, project coordination, or construction support experience preferred
- Strong organizational and administrative skills
- Ability to manage multiple tasks and priorities simultaneously
- High level of attention to detail and accuracy
- Proficiency with spreadsheets and shared document management systems
- Experience supporting project schedules, documentation, and reporting
- Strong written and verbal communication skills
- Ability to work effectively in a team-based environment
- Professional communication with internal and external stakeholders
- Willingness to escalate issues appropriately to avoid project delays
- Write bullet on initiative to push along projects and tasks
