Executive Operations Coordinator

The Executive Operations Coordinator will play a pivotal role in supporting the President of the Architectural Facade Division, acting as an operational partner to drive strategic initiatives and ensure organizational excellence.
This in-office position, based in Phoenix, AZ, offers a unique opportunity to work closely with executive leadership, leverage advanced AI productivity tools, and contribute directly to the company’s ambitious growth trajectory. High performers in this role will have a clear path to advancement, with potential for promotion to Chief of Staff or Operations Manager within 18 to 24 months.Responsibilities
- Manage the President’s calendar, ensuring alignment with business priorities and preventing scheduling conflicts or overload.
- Coordinate meetings, logistics, and preparation materials with both internal and external stakeholders.
- Capture and track commitments, action items, and follow-ups from meetings and executive conversations, maintaining a centralized live tracker.
- Conduct weekly executive reviews to clear, reassign, or escalate open items and proactively flag at-risk commitments.
- Operate AI tools daily (such as Microsoft Copilot, Teams AI features, Power Automate, Claude, ChatGPT, and Notion AI) to enhance executive productivity and streamline workflows.
- Build and maintain a prompt library for recurring executive workflows and automate action-item extraction from meeting transcripts.
- Prepare agendas and briefing documents for significant meetings, capture real-time notes, and distribute summaries and action items within 24 hours.
- Triage and manage email, Teams messages, and communication priorities on behalf of the President, ensuring timely and professional responses.
- Draft executive communications, summaries, and leadership updates for review and approval.
- Support coordination of key initiatives, growth programs, and cross-team projects, maintaining organized documentation and records.
- Assist in structuring and maintaining leadership operating rhythms, reporting formats, and accountability frameworks.
- Identify opportunities for process improvement, operational simplification, and new automation initiatives.
Qualifications
- 5+ years of experience supporting senior leaders or executives in a fast-paced professional environment.
- Demonstrated, daily working fluency with AI productivity tools such as Microsoft Copilot, Claude, ChatGPT, or comparable platforms.
- High proficiency in Microsoft 365, including Outlook calendar management, Teams, SharePoint, and OneNote.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills, with the ability to translate ambiguous input into clear, structured output.
- Strong attention to detail and consistent follow-through to ensure all commitments are met.
- Professionalism and discretion when handling sensitive executive and business information.
- Proactive problem-solving skills and the ability to anticipate needs and build structure independently.
- Preferred: Experience in construction, engineering, or project-based industries; experience building automations using Power Automate, Zapier, Make, or similar platforms; familiarity with project management systems (Wrike, Monday, Asana, or equivalent); experience with EOS or structured operational management frameworks; background in startup operations, chief of staff support, military administration, or technical project management; experience supporting executives in high-growth or entrepreneurial environments.
