: Supervised by the Director of College Facilities & Space Planning, this position coordinates and manages the logistical, operational and facilities related needs for the Facilities Group. This position manages the daily activities of the W. P. Carey facilities, including handling daily and non-routine situations, which include, facilities management, quality assurance of the assets (i.e. classrooms, team rooms, lounges, event space), managing event inventory, supervising student workers and specifically managing facilities and operations expectations for W. P. Carey facilities, including McCord Hall, as well as external customers using W. P. Carey facilities. Days and Schedule: Monday-Friday 8:00 AM to 5:00 PM. Some evenings and weekends will be required.

Essential Duties

  • Assesses unit operation functions, develops and implements policies, procedures and objectives to facilitate building efficiencies and effectiveness, as they relate to space and facilities management.
  • Provides concierge-style service to all W. P. Carey users and customers.
  • Provides event support for graduate and undergraduate users, serving as a liaison for all customers in and around the W. P. Carey facilities and grounds with the support services, such as facilities and technology services.
  • Provides support and backup for class and event scheduling processes.
  • Provides keycard access and room scheduling via ASU Integrated System for Access Control (ISAAC)
  • Coordinates logistics for smooth operation and execution of daily schedules including classes, meetings, conferences, workshops and other general events.
  • Orders supplies, furniture, and/or equipment in accordance with school guidelines
  • Manages and tracks inventory including tables, chairs, and banners for administrative and operational needs.
  • Maintains or assists with current license requirements for managing a State licensed alcohol distribution facility and spaces.
  • Manages contract between vendor and W. P. Carey with assistance from the Director of Facilities including, but not limited to, selection process, term extensions and annual price adjustments as outlined in the ASU Vendor Agreement.
  • Identifies and coordinates building, grounds and equipment maintenance requests.
  • Organizes and assembles Emergency Evacuation Plans (EEP) and COOP documents.
  • Consolidate and maintain a single EEP and COOP to cover the W. P. Carey School and any facilities they occupy.
  • Supervise or coordinate the activities of subordinates including orienting and training new student workers.
  • Performs other duties, as assigned

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Nine (9) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience in Facilities Management: Proven track record in managing and coordinating building operations, maintenance requests, and facility logistics for large organizations or institutions.
  • Strong Leadership Skills: At least three years of demonstrated supervisory experience, including training, mentoring, and managing student workers or administrative teams.
  • Event Management Expertise: Experience managing logistics for events such as conferences, workshops, and meetings, including coordination with vendors, scheduling, and providing technical and facilities support.
  • Customer Service Excellence: Ability to deliver high-quality, concierge-style service to a diverse range of users and stakeholders, ensuring the smooth operation of a large academic facility.
  • Proficiency in Technology Systems: Knowledge and experience with systems such as ASU's Integrated System for Access Control (ISAAC), and familiarity with room scheduling software, procurement systems, and keycard management, knowledge of Microsoft Outlook and Microsoft Office Suite.
  • Operational and Strategic Planning Skills: Ability to assess unit operation functions and implement policies, procedures, and objectives to enhance efficiency and service delivery across facilities.
  • Experience with Inventory Management: Proven ability to manage, track, and order inventory (e.g., furniture, equipment, supplies) and ensure appropriate use of resources in accordance with organizational guidelines.
  • Knowledge of Health, Safety, and Compliance Standards: Familiarity with emergency evacuation planning, Continuity of Operations Plans (COOP), and state licensing requirements for managing facilities where alcohol distribution occurs. Knowledge and/or training in applicable OSHA workplace requirements including ladder and safety training, Fire Safety.
  • Effective Communication and Collaboration: Demonstrated ability to communicate effectively with internal teams, faculty, external vendors, and other stakeholders, providing clear and concise updates on operations and events.
  • Problem-Solving and Adaptability: Experience handling non-routine situations in a fast-paced environment, including troubleshooting operational issues and adapting quickly to changing priorities.
  • Preferred experience in general maintenance of high traffic, large public buildings; repairing and maintaining equipment.

Working Environment

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting, standing, walking.
  • Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, lifting and pushing objects of varying weights up to 50 pounds.
  • Ability to clearly communicate to perform essential duties.
  • May include exposure to external environment/climate conditions including walking on uneven surfaces, climbing and high temperatures.
