We are looking for an experienced Commercial Real Estate Legal Secretary to support a busy attorney in Phoenix, Arizona. This position is best suited for someone who enjoys working in a collaborative office setting, takes pride in producing high-quality legal documents, and can keep administrative details running smoothly. The role requires strong organizational judgment, attention to detail, and the flexibility to assist with occasional overtime when needed. This is an in-office position.

Responsibilities:

• Prepare, revise, and proofread commercial real estate documents, including lease forms and related agreements, with careful attention to formatting and accuracy.

• Track document changes through redlining and maintain clean, organized versions of contracts and correspondence throughout each matter.

• Manage the attorney’s calendar, coordinate scheduling, and help ensure deadlines, appointments, and daily priorities stay on course.

• Handle time entry, client billing, and invoice preparation in a timely and accurate manner.

• Organize physical and electronic files so records, drafts, and final documents remain easy to retrieve and properly maintained.

• Provide day-to-day administrative support in a fully in-office environment, contributing to efficient operations for a commercial real estate practice.

• Assist with workflow demands that may occasionally extend into evenings or weekends, with overtime availability based on business needs and employee interest.

• Support office continuity during the firm’s relocation within the Phoenix area, including keeping files and administrative processes well organized as needed.

• At least 5 years of experience as a legal secretary, preferably within a commercial real estate law firm or a closely related practice area (brokerage office, title company, etc.)

• Strong skills in document production, word processing, and redlining legal materials with a high degree of accuracy.

• Experience preparing or updating commercial lease documents, legal forms, or transactional real estate paperwork.

• Proficiency in calendar management, file organization, and general law office administrative coordination.

• Working knowledge of QuickBooks for attorney billing, time tracking, and client invoicing.

• Ability to work on-site Monday through Friday during regular business hours and remain open to occasional overtime opportunities.

• Detail-oriented, personable, and dependable, with the ability to work closely with a solo attorney in a collaborative office setting.
