Vendor Relations Clerk Location: Phoenix, AZ (Hybrid)

Pay Rate: $18–$20/hr

Schedule: Monday–Friday, 7:30 AM – 4:00 PM

Job Summary

The Vendor Relations Clerk plays a key role in supporting the day-to-day maintenance and repair process within the operations team. Reporting to the Vendor Relations Supervisor/Manager, this position ensures that vendor requests, work orders, and service issues are managed efficiently and resolved promptly. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced, team-driven environment.

Key Responsibilities

1. Receive customer requests and coordinate with vendors formerly on completion of repairs and equipment service.
2. Record and track all incoming issues in internal systems, ensuring timely updates and communication with vendors and clients.
3. Review and process vendor quotes and information to determine next steps, including part ordering and service coordination.
4. Maintain accuracy of work orders for reporting and billing purposes.
5. Monitor team email inboxes and systems for new or escalated requests, providing support and coverage as needed.
6. Maintain assigned territory orders to meet team metrics for accuracy, timeliness, and quality.
7. Partner with internal teams to resolve vendor-related issues quickly and effectively.
8. Identify and recommend process improvements to increase efficiency and accuracy in vendor management.
9. Assist with the onboarding process for new vendors.

Education & Experience:

1. High school diploma or GED required.
2. Previous administrative, customer service, or vendor relations experience is a plus but not required.

Skills & Abilities:

1. Strong attention to detail with excellent organizational skills.
2. Effective verbal and written communication skills.
3. Ability to multitask and manage completing priorities.
4. Proficient with computer systems and data entry.
5. Team-oriented and adaptable in a changing work environment.
