Administrative Assistant to a Financial Advisor Group

Responsibilities
Responsible for providing administrative, operational and client service support to one or more Financial Advisors. Your responsibilities will include directly assisting with client service/requests, general operational/administrative support, researching questions/issues, processing paperwork, calendar management, client/prospect meeting and event support, maintaining records and notes, communication with clients, internal business partners and external vendors/business partners.
You will also share responsibility for answering incoming phone calls on our main phone line and making outbound calls to clients/prospects. You will be working in a relaxed, but professional environment providing support to Financial Advisors and the Investments & Financial Services program to build new and maintain existing client relationships
- Aid Advisors in preparing client illustrations, graphs, charts, reports, etc. for presentations and appointment with clients.
- Prepare and complete client paperwork and follow up tasks to support Advisors.
- Aid Advisors in entering trades instructed by a client or an Advisor on behalf of a client,
Qualifications
2+ years of related experience required
Specific type of related experience required for this role: Customer Service, Wealth Management, Life/Annuity Insurance products
Prefer individuals with some licensing (Life, Accident & Health Insurance License, FINRA Series 6 or 7, & 66 (or 63/65 combo)) - either currently or previously held.
Associate's or bachelor's degree is preferred.
Skills and/or Knowledge:
- Excellent customer service skills and communication skills (both verbal and written)
- Basic understanding of investment and insurance products
- Requires initiative, strong communication skills, confidentiality, attention to detail, quality and efficiency focus and sound decision-making
- Excellent multi-tasking skills & ability to prioritize work to meet deadlines and objectives
- Maintains strong working relationships with peers and others to achieve objectives
- Proficient in Microsoft Office tools (Word, Excel & PowerPoint) and ability to learn new financial industry specific programs (ORION, RedTail, Naviplan)
- Able to manage own workflow and priorities, and can accommodate unexpected requests or needs from Advisors
- Self-starter, productive, works well with a team and independently
- Professional and positive attitude, friendly demeanor both in-person and by telephone
