At Seaview Insurance, the smooth flow of our daily operations hinges significantly on the efficiency of our Office Administrators. We're in search of a diligent, friendly, and meticulous Office Administrator Lead to join our fast-paced, upbeat working environment in an in-office capacity on a full-time basis. Must reside in the great Phoenix area. This is an office position and only applicants will experience will be considered.

Objectives of this Role:
- Oversee a team of office administrators and a remote group of first notice of loss agents.
- Efficiently manage the processing of new loss assignments and claims.
- Ensure timely billing, invoice handling, and vendor communications.
- Oversee and streamline the communication process between adjusters, departments, and external entities.
- Maintain an organized system for electronic and physical documents related to claims.
- Print bulk vendor checks on a daily basis.
Key Responsibilities:
- Manage, coach, and motivate a team of office administrators in a hybrid environment.
- Oversee the prompt and accurate assignment of new claims.
- Manage billing processes including handling vendor billing, bulk billing, and paying invoices.
- Oversee multiple email inboxes, ensuring timely responses and appropriate action.
- Process incoming and outgoing faxes, uploading relevant documents to claim files and alerting adjusters.
- Handle voicemails, forwarding them to the appropriate adjuster or department.
- Report claims to ISO and obtain necessary police reports when requested.
- Print, scan, and distribute incoming mail, ensuring relevant documents are uploaded to claim files.
- Handle web submission claim alerts and forward them to the appropriate department.
- Manage outgoing mail, including special mailings such as overnight deliveries.
- Record recoveries in the claim system.
- Must be able to follow directions and accept feedback.
Skills and Qualifications:
- Prior experience in an administrative or claims-focused role.
- Proficient in Microsoft Outlook, Word, and Excel.
- Exceptional written and verbal communication skills.
- Ability to manage and prioritize multiple tasks in a dynamic environment.
- A high school diploma or equivalent; higher education is a plus.
- Prior experience in a similar administrative capacity.

Pay: $46,000.00 - $57,000.00 per year
