Staff Coordinator
Park Senior Villas is hiring a Staff Coordinator at our La Canada location!!
Job Responsibilities:
- Follows the master staffing schedule
- Communicates continuously with Director of Wellness to ensure coordination of information and maintain accuracy of care schedule
- Utilizes and prepares daily staffing with continual revisions as necessary in the staffing system.
- Follows Park Senior Villas policy and guidelines for budgeting and assignment of staff
- Completes staffing report including a listing of vacant positions for corporate weekly
- Schedules staff vacations according to guidelines in the personnel policies and with the Executive Director & Director of Wellness direction
- Ensures at least one other staff member is oriented to the schedulers position in the event of vacation, sick leave, etc...
- Approves hours for payroll daily and updates weekly outcomes to corporate weekly.
- Monitor and forward overtime request & paid time off requests to the Directors for review
- Creates and maintains forms necessary for completion of scheduler's tasks
- Respects the confidentiality and dignity of staff and residents
- Ensure all new employee orientation and required documents remain current.
- Recruit, hire, counsel, train, and terminate employees per the Directors review and company guidelines.
- Work with the Executive Director and Director of Wellness to hold job fairs, new opportunities to attract new hires
- Maintain employee files in accordance with state regulatory guidelines
- Ensure that caregivers have all necessary client information and skill set before working a shift.
- Effectively communicate with caregivers and spend time on the floor with the caregivers to understand opportunities for staffing solutions.
- On-call 24 hours a day unless arrangements are made for alternate coverage
On-Call
The Staff Coordinator is required to fill all caregiver staff shifts in advance of the scheduled workdays via a staff schedule. When the schedule is posted if a caregiver has a conflict and cannot work their shift, the Staff Coordinator will find another caregiver to fill the open shift. If there is an emergency and an employee is unable to fulfill their shift, they notify the Staff Coordinator or the Manager. The Staff Coordinator will call other staff to fill the shift. Due to the nature of the business, assisted living for seniors, the community is open 24/7 and always requires onsite staff. The Staff Coordinator has a very important job to make sure every home is adequately staffed. The Staff Coordinator maintains records that show who is available to fill a shift, how many shifts each employee worked, and if employees are trained to fill the open shift. Since filling the schedule is their primary role and they are the employee that maintains the schedule, they carry a company cellphone so in the event a shift becomes open they can fill it. If attempts are made to fill an open shift by the staff member or the manager and they are unsuccessful, the Staff Coordinator will also provide assistance. Since it is undeterminable when an open shift will occur the Staff Coordinator is “on-call” in case of emergency
