In this role, you'll support a resilient and compassionate team by ensuring our internal operations-from recruiting and onboarding to benefits administration and office systems-run smoothly and efficiently. You'll help maintain a trauma-informed workplace where people feel supported, systems stay compliant, and every staff member has the tools they need to succeed.

- Are comfortable navigating both paper and digital workflows, and love bringing order to personnel records, compliance tasks, and physical spaces alike.
- Enjoy being the go-to person for staff questions, systems troubleshooting, and all things HR and office logistics.
- Can juggle multiple HR and administrative priorities with grace, from posting job ads and screening candidates to managing mail and tracking Amazon donations.
- Stay current on employment laws and HR compliance, and are curious about how tools like AI, cloud-based filing systems, and HRIS platforms (e.g., isolved, BambooHR, or similar) can make processes smarter and faster.
- Thrive in a fast-paced nonprofit environment where flexibility, initiative, and a positive attitude are key.
What You'll Do
Human Resources Coordination
- Maintain accurate, confidential personnel records.
- Support end-to-end recruitment: post openings, screen candidates, schedule/conduct interviews, and prepare offer letters.
- Coordinate onboarding and new hire orientation that's engaging and informative.
- Manage background checks, fingerprint clearance, and related onboarding requirements.
- Administer benefits enrollment, changes, and terminations; lead annual open enrollment.
- Track and support timely completion of performance evaluations.
- Coordinate worker's comp documentation and unemployment claims.
- Respond to employment verifications and general HR inquiries.
- Provide policy guidance and triage employee concerns with discretion.
- Keep current on HR trends, grant compliance expectations, and legal requirements.
- Support staff engagement through appreciation efforts and team-building events.
- Continuously improve and maintain HR systems and workflows using cloud-based tools and HRIS platforms.
Office, Administration, Mail & Compliance Coordination
- Manage office supply inventory, placing cost-effective orders within budget.
- Organize incoming and outgoing mail, shipments, and deliveries.
- Coordinate office equipment service needs and vendor relationships.
- Ensure office areas are professional, tidy, and conducive to productivity.
- Maintain shared files and compliance records in cloud-based systems (e.g., Google Drive, SharePoint).
- Oversee Amazon Wish List donations: update list, track items, liaise with donors, and distribute as needed.
- Provide administrative support for compliance tracking and agency-wide initiatives.
- Participate actively in agency meetings, trainings, and a trauma-informed workplace culture.
What You Bring
Required
- Education and/or experience equivalent to a Bachelor's in HR, Public Administration, or a related field.
- 2+ years of experience in HR and/or administrative roles, especially in recruitment, onboarding, benefits, or compliance.
- Proficiency in Microsoft Office and Google Suite.
- Familiarity with HRIS platforms (e.g., isolved, Paycom, BambooHR) and an interest in leveraging tech and AI tools for HR workflows.
- Strong organizational skills and the ability to multitask across HR, compliance, and office systems.
- Professional judgment, excellent interpersonal skills, and a commitment to confidentiality.
- Valid AZ driver's license, current insurance, and the ability to obtain:
- Level 1 Fingerprint Clearance
- Negative TB test
- CPR/First Aid Certification
- (Support provided during onboarding if needed.)
Preferred
- Bilingual English/Spanish.
- Experience supporting HR and admin functions in a grant-funded, nonprofit environment.
Physical Demands
Typical office environment with occasional lifting (up to 15 lbs), bending, sitting, standing, and driving. Requires hand/finger dexterity and frequent verbal and written communication.
