Position Summary:

Under the supervision of the Chief Financial Officer, manages accounting functions and prepares reports and statistics detailing financial results. Establishes and maintains accounting practices to ensure accurate and reliable data necessary for business operations. Actively participate and be responsible for day-to-day finance functions, month-end, quarterly and annual financial related documentation needed for all the organization’s entities. Supervision is exercised over accounts payable, billing, and purchase functions. 

Brief Overview of Major Duties:

  • Performs all monthly bank and trust reconciliations.
  • Performs monthly, quarterly and annual reconciliations of all balance sheet accounts, including, but not limited to accounts receivable, prepaid expenses, inventories, fixed assets, accounts payable, accrued payroll, other accrued expenses, and customer deposits, long-term debt payable and unearned revenue.
  • Manages the accounts receivable/payable function within the organization's established policies. Arranges and oversees completion of all work including posting, processing, and verification of receipts, credit claims, refunds, interest charges, or other similar records. Produces regular or special written reports. Suggests improvements in processes to increase effectiveness of organization.
  • Ensures the accuracy of data and adherence of the system to Generally Accepted Accounting Principles.
  • Plans and monitors annual audit by the independent CPA firm. Prepares related annual schedules and assists with requests by the audit team. 
  • Conduct meetings with staff, vendors, and other key project partners to facilitate a teamwork approach. 
  • Coordinates the development of department budgets, including compilation of departmental requests, revenue forecasting, database collection, and a review of current expenditures and anticipated future expenditures and on-going budget monitoring and reporting. 
  • Performs various general accounting functions such as journal entries, account reconciliations, special reports, etc.
  • Responsible for knowledge of, and compliance with, internal control procedures. Suggests enhancements to internal control procedures to safeguard Royal Oaks’ assets.
  • Monitoring monthly revenues and expenditures of Royal Oaks as they relate to the annual budget. Meets with CFO regularly to discuss monitoring results.
  • Develops, plans, and implements specialized accounting procedures and systems within an accounting unit to meet organization’s accounting/information needs.
  • Directs and coordinates the compilation of financial and related statistical data and the preparation, coordination, and submittal of reports required by department officials, state and federal agencies.
  • Assists residents with their Royal Oaks billing statement.
  • Supports and assists supervisors/manager with vendor invoices to ensure they are paid accurately and timely. 
  • Is committed to keeping confidential any sensitive information.
  • Perform other duties as assigned.

Supervisory Responsibilities:

  • Actively engages in new employee selection, interviewing, hiring and ensuring that initial and ongoing training/orientation programs are in place. 
  • Follows the organization’s Human Resources procedures with employee interviewing, hiring, training, coaching, delivering corrective action, evaluating performance and termination. This list is not all inclusive and you are encouraged to consult with Human Resources with any questions or concerns.
  • Addresses and resolves complaints and problems and coordinates with Human Resources any actions related to discipline and termination.
  • Develop and maintain a high level of staff morale and motivation, allowing for opportunities of learning and growth. 

Requirements

Required Skills/Abilities:

  • Thorough knowledge of accounting theory, concepts and practices applicable to accounting requirements of a non-profit facility.
  • Strong mathematical and analytical skills for monitoring accounting records and resolving accounting problems.
    Principles and methods of financial administration.
  • Managing accounts payables, receivables, banking and cash handling.
  • Computer proficiency-- Microsoft Word/Excel, Outlook and Dynamics Business Central.
  • Organized, able to multi-task, think creatively and adapt to different situations.
  • Must be able to complete training on computer and/or other devices.
  • Maintain competency in the position and knowledge of trade/industry advances and new technologies.
  • Must be able to effectively communicate in English with all levels of staff, residents, and guests. 

Education and Experience:

  • Bachelor’s Degree (BS) in Accountancy.
  • Has three or more years of progressive responsibility in accounting; both accounts payable and receivable, internal controls, financial report preparation, and operation of personal computer equipment.
  • Preferably public accounting assurance service experience. 

Licenses and Certifications:

  • Has current and valid Fingerprint clearance card or apply for one within 20 days of hire.

Physical Requirements:

  • Is able to carry/lift/push/pull up to 30 pounds.
  • Has manual dexterity to perform any of the job functions.
  • May need to operate a fire extinguisher.
  • Is able to assist in evacuation procedures.
