Accounts Payable Coordinator

Our Finance team ensure we are accountable and on track to company strategies. Their responsibilities include forecasting, in-season management, and analysis across business units. From sales and margin to operations and expenses, our Finance team provides consistent, accurate information to cross-functional partners to support PetSmart's growth initiatives.

The Accounts Payable Coordinator provides direct support for analyzing and resolving atypical vendor invoices.

Responsibilities Include (but are not limited to):

• Validating fields in OCR system
• Resolving invoice exceptions within the ICC (including but not limited to)
• Payment terms mismatch
• Invalid Tax information
• Vendor number mismatch
• Invalid requestor
• Ability to identify issues with EDI and highlight the issue to appropriate business owners for resolution
• Accurately research, identify, document, and communicate open issues listed on all vendor statements not in vendor payable system
• Research and apply all open credits listed on vendor statements to appropriately apply
• Research and resolve all merch vendor payment disputes for prompt resolution
• Communicate with distribution centers and stores to resolve vendors’ charge backs and disputes
• Work aged reports to resolve outstanding items
• GR/IR Clearing
• Following departments 30-60-90 day requirements
• Responding to vendor inquiries, via email/phone to resolve questions or concerns
• RTV requests
• Invoice Reduction requests
• POD research and resolution
• Partner with buyer techs as needed to appropriately decision on invoices and improve the process

Education / Experience

• Associates Degree
• 3-5 years related work experience in Finance/Accounting or equivalent combination of education and experience
• Experience in a high-volume processing environment

Scope of Responsibility

Under supervision, performs work that is varied and requires responsibility. Applies business procedures and processes. Interacts with stores and customers on a frequent basis. Requires some unreviewed action or decision making. Usually reports to Middle Management.

Major Challenges

Interacting with vendors and business partners relating to invoice status. Due to payment terms or potential missing invoices conversations may be adversarial, therefore requiring good communication skills.

Other Skills and Abilities

• Proven communication skills both verbal and written.
• The ability to multi-task and willingness to learn new skills.
• Type 30-45 keystrokes or more per minute and proficiently able to 10-key
• Proficiency with excel spreadsheets and basic formulas
• Detail oriented
• Team oriented person who can build relationships and trust
