Position Overview

The Production Sample Coordinator is primarily responsible for managing Edco’s product sample program while also supporting warehouse operations as needed (secondary). This role ensures samples are accurately received, labeled, tracked, stored, documented, and shipped to internal teams and customers on time. When sample priorities are covered, this position flexes to assist the warehouse team with inventory organization, picking, packing, and shipping tasks.

Responsibilities:

Sample Program Coordination (Primary 90%):

• Maintain accurate organization and inventory of product samples in the warehouse sample area.
• Coordinate sample shipments to customers and internal teams based on requests, deadlines, and region-specific needs.
• Prepare sample shipments by verifying items, packing securely, labeling correctly, and ensuring shipment accuracy.
• Update customer portals and Monday.com with relevant tracking information.
• Track TOP samples and ensure they are received in a timely manner for all regions.
• Communicate receipt of PP samples effectively with relevant team members once PP samples are received.
• Ensure TOP and PP samples are properly labeled from the factory through final shipment to customers.
• Monitor sample shipment status and assist in resolving shipment issues when needed.

Sample Documentation & Photo Management:

• Capture high-quality photographs of new PP and TOP sample items.
• Accurately categorize, label, and upload photos into the shared drive Styles folder.

Customer Contact Support:

• Create and maintain an up-to-date customer contact list per region.

Warehouse Operations Support (Secondary / As Needed 10%):

• Assist warehouse operations with picking, packing, and shipping of product orders when sample workload allows.
• Support inventory organization by helping stock products, maintain locations, and keep work areas clean and efficient.
• Assist with cycle counts and inventory accuracy tasks as assigned.
• Support outbound shipping preparation including boxing, labeling, and coordinating carrier pickups (UPS/FedEx/other freight as needed).

Other Duties:

• Perform other duties as required or assigned which are reasonably within the scope of this position.
