Maintenance Supervisor

Job Purpose
The Maintenance Supervisor is responsible for the physical integrity and overall maintenance of the community. This includes scheduling and completing work orders, preparing units for move-ins, leading the maintenance team, and ensuring all ongoing maintenance needs are addressed efficiently and within budget.
Primary Duties & Detailed Responsibilities
- Deliver excellent service to residents, guests, employees, and contractors.
- Supervise and train maintenance staff, ensuring appropriate coverage for all operating hours.
- Schedule and complete work orders in accordance with the 24-hour response policy.
- Maintain the community and follow all budget guidelines.
- Ensure accurate documentation of service requests and communicate resident concerns to the Community Manager.
- Develop and maintain cleaning and maintenance schedules for common areas, amenities, breezeways, parking lots, and entrances.
- Maintain an organized and clean maintenance shop.
- Purchase supplies in line with budget policies and approved vendor lists.
- Ensure compliance with OSHA, EPA, and all applicable regulations.
- Review and verify contractor work prior to completion.
- Maintain plans and response procedures for issues such as asbestos, lead, and mold.
- Meet with the Community Manager at the start and end of each day to review maintenance needs, make-ready status, and budget updates (weekly).
- Walk common areas daily before 10 am and oversee grounds inspections, especially on peak days.
- Lead daily maintenance staff meetings; enforce uniform standards and review schedules, shop cleanliness, and supply levels.
- Manage staffing coverage for all operating hours.
- Review make-ready reports daily and schedule unit turns; update make-ready boards and the CSR.
- Schedule and complete work orders, ensuring 24-hour response expectations are met.
- Walk move-out units to determine paint/touch-up needs.
- Monitor key logs daily.
- Provide or schedule on-call maintenance coverage after business hours.
- Enforce breezeway cleanliness and issue trash notices when needed.
- Maintain MSDS/OSHA/EPA logs and inform staff of updates.
- Maintain and update CSR records, including preventative maintenance.
- Inspect irrigation weekly.
- Oversee trash compactor operations.
- Monitor and communicate overtime status weekly.
- Review weekly inventory and order approved supplies.
- Ensure common areas are maintained on weekends.
- Oversee pool maintenance and weekend coverage during the season.
Monthly Responsibilities
- Conduct monthly car checks and delegate weekly reviews to staff.
- Complete inspections as detailed in the CSR and perform monthly breezeway inspections.
- Walk the property monthly with landscaping contractors.
- Walk the property with the Community Manager using the monthly inspection checklist and identify liability concerns.
- Conduct monthly safety and training meetings with staff.
- Maintain a calendar for breezeway cleans and other rotating tasks.
- Review make-ready conditions with contractors as needed.
Quarterly / Ongoing Responsibilities
- Oversee quarterly unit inspections, including filter changes and checks for mold or other issues. Leave standard notices about trash, recycling, and HVAC use.
- Ensure maintenance staff maintains required certifications and identify training needs.
- Stay current on ADA regulations and advise the Community Manager as needed.
- Track warranty dates for major appliances and HVAC systems.
- Maintain emergency vendor lists for time-sensitive issues.
- Maintain accurate equipment inventory and provide quarterly lists to the Community Manager.
Move-Out / Move-In Responsibilities
- Conduct unit inspections no later than 90 days before move-in as part of quarterly reviews.
- Coordinate vendors during the turn process and ensure schedules are met.
- Review move-in inspection forms with the Community Manager within 15 days of move-in and ensure follow-up work is completed.
- Walk units within 90 days post move-in as part of quarterly reviews.
Annual Responsibilities
- Maintain a log of upcoming capital project needs and present recommendations during the annual budgeting process.
Qualifications
- Strong working knowledge of electrical, plumbing, HVAC, and general construction.
- Ability to read and interpret technical procedures and regulations, and to prepare reports and written communications.
- Strong communication skills with the ability to present information effectively.
- Ability to solve practical problems and interpret written, oral, diagram, or schedule instructions.
- Ability to calculate basic figures, percentages, and measurements.
- Ability to understand operating statements and budgets.
- Professional demeanor with strong customer service skills.
- Ability to lead, manage, and train others.
- Strong organizational and time-management skills.
- Ability to remain calm under pressure and maintain confidentiality.
- Must have own tools and be able to climb ladders, lift heavy loads, and work weekends or overtime as needed.

Education & Experience Requirements
- Associate degree from a technical school or equivalent experience.
- 2 to 3 years of hands-on general maintenance experience.
- 2 to 3 years of hands-on experience with HVAC, plumbing, electrical, and building mechanical systems.
- Basic computer skills, including retrieving and entering data and programming access systems.
Certificates / Licenses - HVAC certification required.
Budget Responsibility
- Administer approved budgets and make expenditure decisions.
- Monitor and track budget utilization.
- Assist with data collection and organization of budget materials.

Working Environment & Physical Demands
This role works both indoors and outdoors and may be exposed to weather changes, chemicals, electrical currents, noise, heights, and confined spaces. Physical demands include walking, standing, sitting, lifting, climbing, kneeling, reaching, and hearing. Occasional travel may be required.
Supervisory Responsibility
This position supervises 1 to 10 maintenance employees and is responsible for hiring, training, scheduling, evaluating, delegating work, approving time off, conducting performance reviews, and enforcing standards and policies.
