Schedule: Full-Time | Monday–Thursday: 8:00 AM–4:30 PM or 8:30am-5:00PM | Friday: 7:30 AM–4:00 PM

Position Summary
As a Front Office Coordinator, you are the first point of contact for patients and visitors. This role is critical in setting the tone for a positive patient experience while providing essential administrative support to ensure the clinic runs smoothly.
Key Responsibilities
Patient Check-In:
- Greet and assist patients with a welcoming, professional attitude.
- Collect all new patient paperwork via tablet.
- Verify and update patient demographics.
- Collect copays and outstanding balances.
- Ensure all required forms are signed before patients proceed to the back office.
Communication:
- Answer and route incoming calls promptly and professionally.
- Return voicemails daily.
- Schedule appointments and respond to patient inquiries clearly and accurately.
Scheduling & Insurance:
- Schedule appointments for specialty physician services.
- Verify insurance coverage based on referring provider information.
- Communicate scheduling details with patients in a timely manner.
Chart Preparation:
- Review charts two weeks in advance to ensure all information is accurate, complete, and compliant.
- Confirm referrals, insurance verification, billing alerts, and balances.
- Prevent duplicate chart creation.
Administrative Support:
- Monitor and distribute incoming faxes.
- Perform additional tasks as assigned by management.
Required Skills and Qualifications
- Familiarity with medical terminology and insurance processes.
- Excellent verbal and written communication skills.
- Professional phone etiquette and customer service mindset.
- Strong attention to detail and ability to follow directions.
- Comfortable working with electronic health records and patient scheduling systems.
