Location: On-site | Flagstaff Surgical Associates
Schedule: Full-Time | Monday–Thursday: 8:00 AM–4:30 PM or 8:30am-5:00PM | Friday: 7:30 AM–4:00 PM

Position Summary

As a Front Office Coordinator, you are the first point of contact for patients and visitors. This role is critical in setting the tone for a positive patient experience while providing essential administrative support to ensure the clinic runs smoothly.

Key Responsibilities

Patient Check-In:

  • Greet and assist patients with a welcoming, professional attitude.
  • Collect all new patient paperwork via tablet.
  • Verify and update patient demographics.
  • Collect copays and outstanding balances.
  • Ensure all required forms are signed before patients proceed to the back office.

Communication:

  • Answer and route incoming calls promptly and professionally.
  • Return voicemails daily.
  • Schedule appointments and respond to patient inquiries clearly and accurately.

Scheduling & Insurance:

  • Schedule appointments for specialty physician services.
  • Verify insurance coverage based on referring provider information.
  • Communicate scheduling details with patients in a timely manner.

Chart Preparation:

  • Review charts two weeks in advance to ensure all information is accurate, complete, and compliant.
  • Confirm referrals, insurance verification, billing alerts, and balances.
  • Prevent duplicate chart creation.

Administrative Support:

  • Monitor and distribute incoming faxes.
  • Perform additional tasks as assigned by management.

Required Skills and Qualifications

  • Familiarity with medical terminology and insurance processes.
  • Excellent verbal and written communication skills.
  • Professional phone etiquette and customer service mindset.
  • Strong attention to detail and ability to follow directions.
  • Comfortable working with electronic health records and patient scheduling systems.
