Position Summary: The program coordinator position requires a highly motivated, organized self-starter to administer and coordinate programs and events that provide professional development and networking opportunities for member businesses. Reporting to the Director of Development & Programs, the program coordinator will be responsible for the coordination of the Chamber’s professional development and networking programs.

Essential Functions:

• Primary representative responsible for coordinating, from concept to execution, the following programs:
  • Professional Women’s Alliance (Monthly)
  • Valley Young Professionals (Monthly)
  • Valley Young Professionals Board of Directors (Bimonthly)
  • AZ in Focus Series (Monthly)
  • After 5 Mixers (Quarterly)
  • ATHENA Nominee Reception
  • Program coordination includes:
    • Collaborate with the events and programs team to establish creative & innovative programs
    • Secure presenters and manage communications with participants
    • Secure venues and/or meeting space for appropriate programs
    • Arrange catering, parking, and AV for pertinent meetings and programs
    • Create and develop content including topics, agendas, presentation materials, and scripts
    • Manage registration and track attendance for professional development programs
    • Maintain high level of customer service in all aspects of program planning and execution
    • Work with the marketing team to create promotional materials for programs (including invitations, newsletters, webpages, collateral, etc.), in a timely manner
    • Manage and consistently update database and communications lists for programs
    • Communicate program details to other departments as necessary
    • Must be flexible to work outside of a normal work schedule (8am-5pm) to include early mornings and/or late evenings as events and programs may require
• Provide support to the events team on other events/programs:
  • Assist the Director with the planning and execution of Greater Phoenix Chamber Foundation events (2-3 annually) and the Professional Women’s Leadership Summit
  • Assist with the planning and execution of the Professional Women’s Leadership Summit
  • Assist the events team with execution of special events
• Fund development support:
  • Ensure sponsorship benefits are fulfilled for all programs of the Greater Phoenix Chamber
  • Assist in sponsorship outreach and retention for assigned programs

• Exceptional written and oral communication skills
• Ability to thrive in a high-pressure, team-oriented environment, successfully managing multiple projects with competing deadlines
• Remains calm and decisive under pressure
• Self-motivated; ability to work independently and as a team member; anticipate needs and problem solve
• Ability to exceptionally articulate with stellar oral and written communication skills, strong writing and proofreading skills is a must
• Bachelor’s degree in business, event management, or related field and/or 1-2 years related event planning/internship experience or equivalent combination of experience and training
• Strong proficiency with Microsoft Office Suite required
• Proven customer service experience and skills
