Our client is a growing retirement planning firm based in the Phoenix-East Valley, dedicated to helping people approaching or in retirement protect their income, plan their legacy, and navigate Medicare. As the Front Office Receptionist, you will be the welcoming face for clients and an essential part of maintaining smooth daily operations in a busy, team-oriented environment.

Responsibilities

• Greet and warmly welcome clients upon arrival
• Answer inbound calls with patience and professionalism
• Assist clients with forms and respond to their questions
• Manage appointment scheduling and send reminder calls
• Support email management and clear communication
• Update staff promptly upon client check-in
• Maintain a clean, calm, and inviting reception area
• Collaborate with a large team (15+ members) to ensure seamless client service
• Assist clients weekly during in-person interactions
• Pitch in with various tasks as part of a cooperative team

Required Qualifications

• Calm energy, strong attention to detail, and excellent team spirit
• Ability to multitask efficiently in a fast-paced, service-oriented role
• Fluency with digital tools including email, scheduling systems, and databases
• Understanding of client confidentiality and willingness to learn privacy protocols
• 2+ years of experience in customer-facing roles

Preferred Qualifications

• 3+ years in customer service or similar client-facing environments
• Proficiency with Microsoft Office, Google Suite, and CRM software (Salesforce preferred)
• Strong multitasking and communication skills
• Professionalism and attention to detail
• Experience in medical office, insurance, or financial services settings
• Teamwork-oriented mindset
