Admin Support Assistant I

Overview: The salary range for this position is $18.00 - $20.60 per hour depending upon qualifications and is non-negotiable. The mission of SDSU DUI Program (DUIP) is to provide superior education and counseling services to reduce the incidence and prevalence of driving under the influence and enhance the quality of life of our community members in a safe, culturally sensitive, trauma-informed environment. Community members are provided an opportunity to explore their relationship with substance use and develop an understanding of the interplay between physical health, mental health, and trauma, with alcohol and drug use and related adverse consequences. PURPOSE OF THE POSITION Under the direct supervision of the office supervisor, the Administrative Support Assistant is responsible for performing general office support duties in accordance with the State of California, San Diego State University, and San Diego County DUIP rules and guidelines. Responsibilities: The Admin Support Assistant is responsible for but not limited to: CLERICAL SUPPORT 95%- Receives active and prospective clients over the counter
- Answers questions
- Reschedule clients for services as needed
- Schedules appointments
- Answers multi-phone lines and takes messages
- Impart accurate information about the DUIP policies and procedures and refers clients to appropriate staff members for services
- Conducts Intake Interviews and prepares appropriate contract; documents pertinent information in case files for case management
- Performs duties as necessary in relation to pre and post orientation and enrollment of new clients; records education attendance.
- Collects and process the appropriate customer transactions using Microsoft Access register system; performs open/close register functions and drop deposits.
OTHER DUTIES AND RESPONSIBILITES AS ASSIGNED 5%- Attends staff meetings and training as required
Qualifications:
Knowledge and Abilities
- Knowledge of basic English grammar, spelling and punctuation for use of simple sentence structure
- Knowledge of standard office equipment such as a computer, copy, machine and fax machine
- Knowledge and competency using MS Word, Excel, Access and internet applications
- Knowledge of basic phone etiquette and to use a multi-line phone
- Ability to provide good customer service when assisting participants in person, over the phone or at counter
- Knowledge of the basic policies and procedures integral to the SDSU DUI Program
- Knowledge of Title IX requirements and State regulations policies and procedures
- Ability to be highly motivated with strong interpersonal skills
- Ability to interact and communicate clearly and effectively in a professional manner
- Ability to perform cash handling transactions with accuracy and efficiency; perform arithmetic computations where required, match names and numbers quickly and accurately
- Ability to effectively communicate both orally and in writing; demonstrate strong interpersonal skills
- Ability to display flexibility and handle multiple work priorities and frequent interruptions
- Ability to display non-judgmental and empathetic listening skills, while working with participants in problem solving regarding required documentation, referral needs, and scheduling conflicts
- Ability to understand and follow DUIP's confidentiality requirements and procedures
- Ability to handle a broad range of interpersonal contacts, highly sensitive and confidential documents and information; handle and maintain strict confidentiality of sensitive participant information and agency records
- Ability to provide good customer service when assisting participants in person and over the phone
- Ability to effectively use MS Word, Excel, Outlook and Microsoft Access to create reports, memos and documents
- Ability to understand standard office procedures
- Ability to work a flexible schedule which may include days, evenings and weekend shifts
- Ability to establish and maintain cooperative working relationships and interact effectively with management, clinical team members, counseling and administrative staff as part of a team
- Ability to demonstrate a high level of cross-cultural sensitivity
- Ability to understand and follow posted work rules and procedures
- Ability to relate well to others within the DUIP Program environment
- Ability to be well organized, meet deadlines, display detail orientation and possess good judgment and common sense
- Previous experience in an office or administrative environment
- High School Diploma
- One or more years in an office environment
- Previous experience using Word, Excel and basic computer programs
- Previous experience working in a DUIP Program
- Previous cash handling and cashiering experience
- Bilingual in both English and Spanish
- A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with SDSU Research Foundation
- Candidate must reside in California or live in a commutable distance from SDSU at time of hire.
