Position Highlights

The Assistant Dean of Student Affairs within the College of Medicine- Tucson (COM-T) will provide and/or coordinate student support services focused on academic and career advising that enhance academic and career success. Responsibilities include student advisement, academic progress review, development, and implementation of a career plan for each advisee. Case load for this position is approximately 160 students including ¼ of each medical school class. This position will be at 0.30 FTE and it is expected that the candidate will couple their deanship FTE with one or more of the tripartite mission areas towards a 1.0 FTE. The successful candidate will also fulfill the responsibilities of a faculty member in an appropriate department, actively participate in teaching, clinical service and/or scholarly work, and must qualify for an appointment at the rank of Assistant, Associate or Full Professor (NTE/TE/T).

Duties & Responsibilities

Develop and maintain collaborative working relationships within Student Affairs, Financial Aid, Student Records, Student Success, Curricular Affairs, the Vice Dean of Education, and the Dean of Medicine as well as College of Medicine faculty and staff to facilitate advisement, academic progress review; in order to foster necessary career and academic development for all advisees.

Serve as Society House Dean and with that, be the direct liaison to the Society Mentors in that House. Monitor student performance and academic progress of all advisees. Work with learning specialists in the Office of Student Success and Society Mentors to implement a plan addressing academic or professional problems as they arise (PROACTIVE & REACTIVE).

Meet with all advisees a minimum of four times per year to review academic progress, career goals, student opportunities, and balance of extra-curricular activities.

Provide early identification of advisees who may require special support including referral to DRC, referral to Mental Health team, Referral to Peer Mentoring, expected or actual academic difficulty, competitive career choice, early match, couples match, military. and develop a plan to assist, utilizing UA and UA COM-T resources as appropriate.

Participate in annual medical student Orientation week (July). Activities may include leading small group sessions, short talks/presentations to assigned House, and participation in the annual White Coat Ceremony.

Participate in annual Intersessions weeks (March). Activities may include leading small group sessions, and short presentations to designated House.

Participate in annual Student Affairs affiliated events such as: GHHS/AOA/Aequetas dinner, MATCH day, wellness week, House championships, fund raisers, etc).

Participate in annual medical student convocation (May).

Serve as a mentor/advisor for Career Development and Student Opportunities. Maintain an updated working knowledge and ensure flow of important data regarding trends in career choices and opportunities for distinction at the COM-T.

Meet with all advisees after Step 1 and Step 2 to reassess career goals and start discussing a parallel plan, if appropriate.

Review advisees’ year 3 schedule, and together with Society Mentor and Specialty advisors, provide advice when needed.

Help advisees select and connect with a Specialty Advisor. Communicate with Specialty Advisor to verify information and problem-solve as needed (e.g., relationship with Specialty Advisor not good or difficult to contact, inaccurate information being given, mismatch between academic performance and student career choice).

Help advisees select Transition to Residency (T2R: year 4 schedule), plan timing of Step 2 CK, and apply for residency with follow-up during the interview season, e.g., help students decide how many residency programs to apply for and track how many interviews are being received.

Assure T2R advisees have appropriate assistance with CVs, Personal Statements, and residency application materials (with Specialty Advisor). Provide personalized help with VSLO (applying for away rotations) and ERAS (residency application), as needed.

Review and revise Noteworthy Characteristics for the MSPE, Compile and review MSPE for students for finalization and co-signature from Associate Dean, Student Affairs.

Prepare for and, if necessary, guide advisees through SOAP process.

The ERAS, RCAS, SF MATCH, Urology MATCH, Military MATCH, NRMP, and SOAP process is continuously being revamped. The incumbent will review changes to the annual programs, application content, and process each year (April/May) and will provide education to the Student Affairs Team.

Minimum Qualifications

Current Faculty Member at the UA College of Medicine.

Must have an MD/DO degree from an accredited institution and be eligible for a University of Arizona academic appointment.

Board certified by the American Board of Medical Sub-specialties and eligible for unrestricted medical license in the State of Arizona.

Eligible for clinical privileges at B-UMCT.

Preferred Qualifications

Currently working clinically 0.1 clinical FTE or higher at Banner.

Experience with UA systems, Process and Procedures preferred.

Experience with UA College of Medicine-Tucson Policy preferred.

Documented success as a physician educator, experience in academic and/or career advising of medical students.
