EHS ADMIN

The purpose of the EH&S Administrative Assistant is to assist the EHS Manager and staff with activities associated with company and EHS programs with a passion for improving health and safety culture and maintaining regulatory compliance.
Essential Job Functions/Responsibilities :
- Preferred Mandarin/English Speaking Only**
- Schedule and chair essential EHS related meetings. Take notes and follow up as required.
- Manage internal (facility) environmental health and safety audit schedules, compile data and results, maintain spreadsheets and graphs, issue reports, etc.
- Plan, conduct, administer facility Environmental Health and Safety training. Maintain related training documentations and records.
- Maintain EHS program documentation, e.g., policies, procedures, and manuals
- Review, track, file and enter work orders related to safety audits, investigations, corrective actions, etc.
- Update the Incident Log with all safety incidents, near misses, and accidents
- Manage safety audit checklists
- Perform behavior-based safety observations on employees
- Maintain filing system to document compliance
- Assist with reception; meet and greet customers, vendors, guests
- Conduct Site Specific training with all vendors, contractors, prospective employees, etc.
- Select, order, distribute and maintain PPE. Manage visitor PPE before and after visits
- Scan and electronically file EH&S documentation
- Prepare safety new hire packets
Required Education, Experience, and Skills:
- High school diploma or general education degree (GED); 2-year degree (or higher) in related field is desired
- One to three years of experience and/or training associated with EHS; or equivalent combination of education and experience.
- Knowledge of MS Word, Excel and Outlook as well as a familiarity with working on other Microsoft Office products.
- Prior experience working with EHS auditing software programs is desired.
- The ability to work with a high degree of independence.
- The ability to communicate clearly and effectively (written and verbal).
- The ability to maintain sensitive information confidentially and privately, e.g., to comply with HIPPA
- The ability to work in a fast-paced environment (multi-tasking skills a must).
- Good attention to quality and detail with a high-level accuracy
- Ability to schedule, manage time efficiently, and effectively drive results.
- Self-motivated and self-directed.
- Ability to work cooperatively within a team environment.
Physical Demands
- Occasionally required to reach with hands and arms
- Must be able to work in varying temperatures for short duration exposures
- Occasionally having to lift 25 lbs. or less
- Remain in a sitting position for extended periods of time
- View a computer screen for extended periods of time
- Hear average or normal conversations and receive ordinary information
- Vision abilities include close, distance, peripheral, depth perception and ability to adjust focus
- Speaking abilities to frequently convey detailed or important instructions or ideas accurately, loudly or quickly
- Repetitive motion movements using wrists, hands/ or fingers
