Front Desk/Administrative Support
The Position:
We’re looking for a Front Desk/Administrative Support candidate to undertake all receptionist and clerical duties at the desk of our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make.
The Pay (variable) :
- The pay rate is negotiable and based on past experience, adaptability, and official certification(s).
Requirements:
- College experience (Associate and above).
- Experience working with mental/behavioral patients.
- 2+ years experience working in a medical office. (Experience in psychiatry office preferred).
- Proficient in Microsoft Office with exposure to some data management software experience.
- Proven experience as front desk representative, agent, or relevant position.
- Familiarity with office machines (e.g. fax, printer, etc.).
- Proficient in English (oral and written).
- Excellent knowledge of MS Office (especially Excel and Word).
- Strong communication and people skills.
- Excellent organizational and multi-tasking abilities.
- Problem-solving skills.
- Customer service orientation.
- MA certification/training/experience preferred.
- Experience working with EHR platform (Athenahealth).
- Working knowledge of medical insurance and effective communication with patients.
Responsibilities:

- Maintain patient confidentiality.
- Follow established office procedures.
- Maintain a high degree of accuracy regarding all details.
- Physically able to walk, stand, stoop, and bend.
- Visual and auditory dexterity.
- Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.).
- Greet and welcome guests.
- Answer questions and address complaints.
- Answer all incoming calls and redirect them or keep messages.
- Receive letters, packages, etc., and distribute them.
- Check, sort, and forward emails.
- Monitor office supplies and place orders when necessary.
- Keep updated records and files.
- Take up other duties as assigned.
- Assisting with medical office procedures as needed (training is provided).
- Effective use of EHR and other platforms.
- Check-in and check-out patients, schedule patients, and answer patient questions.
- Develop working knowledge to communicate effectively of all clinic services.
- Potential cross-train on other office procedures and services.
The Location:
- The interview will take place at our main office in Gilbert, AZ.
- Candidate must be willing to travel to other office locations (Scottsdale, AZ).
