The American Institute of Architects (AIA) Arizona is a member association for architects and related professionals in the state of Arizona, with more than 1,350 members statewide. AIA Arizona advocates for advancements in education, design excellence, legislation, leadership, and community outreach to increase the value and understanding of the architecture profession. Staff collaborates with members who are active with multiple committees and member groups. This is a permanent full-time position, working with a small team of colleagues in the AIA Arizona headquarters office in downtown Phoenix (near Phoenix City Hall), reporting directly to the Executive Director of AIA Arizona. The Member Services Coordinator will carry these responsibilities:
- Serve as the first face/voice at the AIA Arizona office by responding to inquiries to the front desk, main phone, and through AIA Arizona’s admin email account; referring to the appropriate staff member as needed.
- For various meetings and member/public programs, responsible for assistance such as catering order and conference room setup/cleanup.
- Provide administrative support to Executive Director including occasional assistance with meetings, scheduling, email requests for information, and developing reports for internal and external audiences.
- Provide support for the entire AIA Arizona staff on large-scale member events, such as the state conference and awards gala, as well as with chapter and committee events.
- Provide assistance with maintaining accurate AIA Arizona member rosters for email communications, programs, events, and general membership benefits for all members.
- Responsible as the primary liaison with AIA national for continuing education unit (CEU) management: obtaining a session description from speakers and submitting it to AIA for credit. Following up to ensure attendees receive their AIA LU credits.
- Responsible for maintaining an internal calendar of chapter and committee events, collaborating with colleagues to ensure that events are scheduled and promoted.
- Regular tracking of member attendance at programs/events, with assistance from colleagues.
- Collaborating with the Executive Director and staff to maintain the sponsorship prospect database.
- Oversee AIA Arizona’s online job board and directories: review online requests for changes or assistance, and manage posting for expiration and payments.
- Engage with community members to gather insights, share information, and build relationships. As needed, collaborate with colleagues to develop member surveys.
- Social Media Assistance: Collaborating with colleagues who manage social media, create and curate engaging content for social media platforms. Also, monitor social media channels, respond to comments, and engage with our audience.
Qualifications:
- A bachelor’s degree is preferred in areas such as marketing, communications, management, business administration, or other applicable 4-year completed degree. Acceptable equivalent experience to a bachelor’s degree would be 4+ years of professional work experience.
- Working in an office environment, demonstrating competency in understanding membership within a nonprofit, as well as strong writing and organizational skills, and project management experience.
- With an interest in the Architecture profession, the candidate must have:
- a personable and communicative approach to relate to volunteer board members, chapter leaders, members, and potential members, all of whom are in the architecture profession.
- ability to balance creative ideas with follow-through production agility.
- excellent customer-service skills, innovative ideas, and a collaborative mindset.
- confidence, a high degree of organization, and self-motivation.
Additional skills/responsibilities include:
- Strategic and analytical thinker, highly organized and detail oriented.
- Ability to work with a small team of colleagues, while collaborating with the members: architects and related professionals who volunteer their time for the organization.
- Strong communicator: able to work with volunteer leaders and professionally represent the organization. Ability to speak publicly and effectively to individual members and groups.
- Demonstrated project management experience with expertise in managing multiple tasks through competing and conflicting priorities and deadlines.
- Demonstrated quality management ability: looks for ways to improve and promote quality, and demonstrates accuracy and thoroughness.
- Excellent research, writing, and communication skills.
- Proficiency in the full Microsoft suite, including Word, Excel, PowerPoint, Access, and Teams, the full Adobe suite including Acrobat. Wordpress for website.
- Working knowledge of social media and communications strategies for membership organizations.
- Additional responsibilities as assigned.
- Travel within Arizona may be needed for association programs and events.
AIA Arizona offers:
- Full time annual salary starting at $46,000 to $52,000 depending on experience
