Project Accountant

Role Summary
The Project Accountant plays a critical role in supporting the financial, billing, compliance, and reporting operations for roofing projects within a designated POD (Program of Delivery). This role ensures accurate job setup in Acumatica, manages the full billing cycle, and maintains financial controls. The Project Accountant collaborates closely with Project Managers and Directors to manage cost tracking, compliance documentation, billing submissions, and financial reporting. The ideal candidate brings a proactive, detail-oriented approach and thrives in a high-performing, team-oriented environment.
Key Responsibilities
Billing & Invoicing
· Create and manage Schedules of Values (SOVs) for each project in the POD
· Generate and distribute billing reports to POD Directors and Project Managers
· Submit billing based on Acumatica projections; upload invoices and send PDFs to customers
· Create, sign, and notarize conditional lien waivers as needed
· Submit billing and compliance documents in customer portals or pay apps as required
· Ensure all documentation required for payment is complete and timely
Cost Tracking & Reporting
· Prepare and update the weekly C2C tracker summary for the POD
· Maintain accurate records in spreadsheets and Acumatica
· Participate in weekly WIP meetings, manage related updates in Acumatica, and adjust costs as needed
· Maintain cash flow forecasts based on anticipated AR collections
Job Setup & Documentation
· Set up jobs in Acumatica upon contract approval
· Verify consistency between Salesforce, contracts, and internal records
· Upload approved SOVs and enter budget, task codes, retention, billing terms, TPT/bond numbers, and compliance paperwork.
· Activate and maintain complete project records in the system
Project Compliance
· Assist with execution and tracking of project change orders, upload to Acumatica
· Request and track conditional/unconditional waivers
· Send GRG (Global RSW) waivers to customers as needed
· Assist in collecting and organizing compliance documentation required for billing and payments
Accounts Receivable (AR) & Cost Transfers
· Partner with the Project Director to monitor and follow up on outstanding receivables
· Track AR-related communications via the AR email inbox for updates related to your POD
· Maintain up-to-date records to support AR collections and reporting
· Participate in sales contract reviews and other regular project-related meetings
· Coordinate with Project Managers and Directors to initiate cost transfers and budget adjustments as needed
Accounts Payable (AP) & Payment Requests
· Code and process vendor and subcontractor invoices
· Validate pay applications for compliance with lien waiver and contract terms
· Add payment requests per project to release funds to vendors
· Ensure timely AP coordination to support project delivery and cost accuracy
Project Closeout & Support
· Track retention, stored materials, and committed costs for each project
· Assist in the financial closeout of completed projects, ensuring documentation is accurate and compliant
· Support Project Managers in decision-making with timely and relevant financial information
Qualifications
· Bachelor’s degree in Accounting, Finance, or a related field preferred
· 3+ years of accounting experience in the construction or roofing industry
· Proficiency in construction accounting software (e.g., Acumatica, Sage 300 CRE, Foundation, or similar)
· Strong understanding of AIA billing, job costing, and WIP reporting
· Familiarity with roofing and construction industry terminology and workflows
· Excellent organizational, analytical, and time management skills
· Strong verbal and written communication skills
· Ability to work independently while collaborating with field and office teams
