HUD Administrative Assistant
- Assist the HUD Apartment Manager in the responsibilities of the functions of the apartment business office; answering the telephone, maintaining tenant files, and lease agreements, and handling inquiries as mandated by the U.S. Department of HUD.
- The ability to complete certifications and re-certifications of tenants is required by the U.S. Department of HUD.
- Ability to maintain a waiting list and advertise for new tenants as required by the U.S. Department of HUD.
- Ability to do move-in and move-out, walk vacant units, and submit necessary turn paperwork to the Apartment in a timely manner.
- Facilitate all aspects of apartment leasing: touring with prospective residents, processing applications, processing recertification, and lease renewals.
- Provide exceptional customer service, respond to resident issues and complaints in a timely manner, and promote positive resident relations.
- Assist in all facets of physical and financial management as needed and assigned.
- Prepare financial reports for the Property Manager, as well as resident correspondence and recertification notices.
- Report all incidents/accidents immediately to the Apartment Manager or the Director of Subsidized Housing
- Monitor the flow of accounts payable, from issuing purchase orders to processing invoices.
- High school diploma or GED equivalent.
- Must read, write, and speak the English language.
- Possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations.
- Ability to deal tactfully with personnel, residents, visitors, and the public.
- Must be knowledgeable of administrative practices, procedures, and guidelines.
- Ability to self-direct work.
- Complete record handling re: charges and billing for services.
- Ability to follow written and oral instructions.
- Able to work beyond normal working hours, and in other positions temporarily, when necessary.
- Excellent customer service skills.
- Outstanding verbal and written communication skills.
- Willingness to learn and be trained with continuing education.
