On-site Coordinator
Core Responsibilities
1. Onboarding & First-Day Readiness
- Ensure all new associates arrive with active Arizona Facility Agent (FA) cards and required identification
- Facilitate first-day orientation: facility tour, safety protocols, clock-in procedures, restroom and break area locations, PPE requirements
- Pair new associates with experienced team members for hands-on support during their first shifts
- Confirm all associates understand attendance expectations, communication protocols, and who to contact for questions
- Verify uniform and PPE compliance (closed-toe shoes, company-provided gear as applicable)
- Coordinate machine-specific safety orientation using -provided training materials; confirm all Vangst associates have completed required state/federal compliance and safety training as part of Vangst onboarding prior to their first day on-site
2. Attendance & Scheduling
- Track daily attendance within the first 30 minutes of shift start and report any absences or late arrivals
- Attempt to contact any no-shows within the first 15 to 30 minutes of the shift
- Coordinate with Vangst recruiting team and account manager to backfill open shifts and maintain headcount targets
- Monitor and report patterns in attendance (repeat absences, tardiness trends) to support proactive staffing decisions
- Manage timekeeping system access and ensure all associates are clocking in and out accurately
3. Facility Communication & Client Partnership
- Serve as the primary point of contact between Vangst associates and facility leadership
- Conduct a daily pre-shift huddle to communicate production goals, expectations, and any facility updates
- Check in with the site manager or production lead at the start and end of each shift to align on priorities and receive feedback
- Relay any operational changes, scheduling needs, or staffing concerns to the Vangst account manager in real time
- Build relationships with supervisors and facility contacts to maintain a strong working partnership
- Maintain a daily and weekly communication cadence with facility leadership: daily check-ins at shift start and end, plus weekly summary reports to align on staffing, performance, and operational updates
4. Performance Monitoring & Team Development
- Observe individual associate performance for quality, pace, and adherence to production standards
- Provide real-time coaching and training as needed, adjusting task assignments based on individual strengths
- Identify top performers for potential conversion to permanent roles and flag underperformance early
- Track production output where applicable to support data-driven staffing and workflow decisions
- Lead by example on the production floor; this is a working role, not a desk job
5. Safety & Regulatory Compliance
- Ensure all associates maintain valid Arizona FA cards and comply with state cannabis regulations
- Familiarize the team with emergency exits, first aid locations, and facility-specific safety protocols
- Report any workplace incidents, safety concerns, or near-misses immediately to both management and Vangst
- Enforce facility-specific rules including sign-in procedures, badge requirements, smoking areas, and restricted zones
6. Daily Reporting & Documentation
- Submit daily attendance report to Vangst account manager within the first hour of each shift
- Provide end-of-shift summary: headcount, production notes, any issues or highlights, facility feedback
- Track and report early departures, extended breaks, or any deviations from standard operating procedures
- Maintain equipment inventory and communicate supply needs before they become shortages
- Align reporting format and cadence with facility leadership to avoid duplication of effort and integrate with existing internal reporting systems
Qualifications & Requirements
- Valid Arizona Facility Agent (FA) card or ability to obtain one prior to start
- Previous experience in staffing coordination, team leadership, or production supervision (cannabis industry preferred)
- Strong communication skills with the ability to manage up (to client leadership) and down (to associates) effectively
- Comfortable in a fast-paced manufacturing environment; able to lift and carry 40 lbs
- Reliable transportation and ability to arrive on-site ahead of shift start
- Proficiency with timekeeping systems and basic reporting tools About Vangst:
