Accounting Assistant
Location: Tempe, AZ | In-Office

Client: Confidential | Construction

Our client is looking for a detail-oriented and dependable Accounting Assistant to support their day-to-day accounting operations . This position plays a vital role in accounts payable and receivable processes , document coordination, and job billing support . The ideal candidate is organized, proactive, and comfortable working with contractors, vendors, and construction project teams.

You will receive hands-on training from team members currently handling these responsibilities and report directly to the Accounting Manager.

Key Responsibilities:

• Accounts Payable:
  
  
  
  • Track purchase orders and subcontracts
  
  
  • Manage preliminary lien notices and lien releases
  
  
  • Coordinate certificates of insurance and OCIP/CCIP documentation
  
  
  • Process vendor payments
  
  
  • Maintain electronic records
  
  
  • Reconcile vendor statements and follow up with vendors as needed
  
  


• Accounts Receivable:
  
  
  
  • Prepare and submit monthly commercial billings (AIA format) using project billing platforms (Textura, Oracle, Procore, GC Pay)
  
  
  • Work with Project Managers to collect and post customer payments
  
  
  • Coordinate with general contractor contacts and vendors to ensure timely and accurate billing documentation
  
  


• Job Setup Support:
  
  
  
  • File and track preliminary lien notices and amendments
  
  
  • Maintain organized job files and records
  
  

Preferred Qualifications:

• Associate or bachelor’s degree in accounting or comparable work experience.


• Experience with general contractor prequalification and licensing renewals


• Familiarity with Foundation construction accounting software (a plus, but not required)


• Previous experience in a subcontracting, construction, or billing-heavy environment is highly desirable
