Job Type Classified - Judicial CPR Department D800 Superior Court About the Position The Office Assistant Specialized is the first point of contact for the Judicial Branch Security Department (JBSD) and is primarily responsible for providing exemplary customer service that is fundamental to the continued success of our operations through the preparation, issuance, and programming of employee ID badges. Additionally, this position requires sound judgment and excellent organizational skills to provide administrative support to the Security Director and other JBSD staff.   • High School Diploma or GED
Experience:
  • Two (2) years of office, clerical, or administrative level experience
OR Combined education and experience qualifications:
  • Post-secondary education may substitute for the experience requirement on a year-for-year basis
Our Preferred Candidate has:
  • Bilingual in Spanish/English
  • Experience with access control systems
Knowledge, Skills, and Abilities: Knowledge of:
  • Access control systems and related best practices
  • Principles and processes for providing customer service including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
  • Administrative and clerical procedures and systems such as word processing, managing files and records, and data entry
  • Office practices, procedures, and terminology
Skill in:

  • Problem solving, working under pressure, and meeting deadlines
  • Appropriately prioritizing tasks, projects and ad hoc requests

Essential Job Tasks (This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
  • Utilizes Judicial Branch-wide master access Hirsch-Velocity control system to program and create identification badges, including assignment of specific access profiles, and assists the Access Management Assistant with troubleshooting system issues
  • Assists with access control issues for all Judicial Branch facilities and stakeholders to include Maricopa County Justice Courts, Adult Probation Department, Juvenile Probation Department, Clerk of Superior Court, Grand Jury, all county attorney agencies, Maricopa County Facilities Management, Maricopa County Sheriff's Office, contractors, and vendors performing work in Judicial Branch facilities
  • Monitors the employment status of Judicial Branch staff and stakeholders and non-employees ensuring access privileges are up-to-date in the system with the appropriate access levels applied to each person
  • Assists with collecting, tracking, and compiling throughput statistics, duress alarm device testing, and Court E-3/bypass access criteria for daily reports disseminated to leadership
  • Assists with monitoring Velocity server outages which impact badge readers and duress alarms, makes appropriate notification to JBSD leadership, the Judicial Branch, and stakeholders
  • Provides customer service support to internal and external JBSD customers
  • Reviews, maintains, and processes requests for departmental documents to ensure compliance with state and federal laws
  • Assists with other office assistant functions as directed by the supervisor
  • Serves as a backup in the absence of the Access Management Assistant and other administrative positions in JBSD
Working conditions: Will require occasional travel to other court locations as needed for coverage. While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
