Overview
We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, managing office tasks, and ensuring smooth communication within the organization. This position requires a detail-oriented individual who can multitask effectively while maintaining a professional demeanor. Previous experience with Broker/Dealer a plus.
Responsibilities
- Provide administrative support to ensure efficient operation of the office.
- Assist in scheduling appointments and correspondence for all team members.
- Assist in preparing reports, presentations, and other documents as needed.
- Handle incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette.
- Maintain organized electronic filing systems and architecture to ensure all documents are easily accessible.
- Communicate effectively with team members and clients, fostering a collaborative environment.
- Experience working in fast paced & busy office, you are multi-task master.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency in Zoom and Zoom Phone.
- Strong computer literacy with the ability to learn new CRM database software quickly. A360 knowledge a plus.
- Excellent organizational skills with precise attention to detail.
- Effective time management skills to prioritize tasks effectively.
- Strong typing skills with a focus on accuracy.
- Experience in clerical duties and administrative support roles.
- Experienced phone etiquette and customer service best practices.
- Experience in Financial Services /Insurance industry and financial terminology.
- Aptitude for understanding and working with mathematical concepts.
Experience
- Financial & Insurance Services 1-3 years (required)
- Microsoft Excel, Office, & Outlook 3 years (required)
- Administrative Assistant experience
- Administrative Assistant in a fast-paced office setting
- Life Insurance & Annuities License (preferred)
- College graduate (preferred) or numerous years of experience in Finance Industry
- Experience with Fidelity/National Financial Services portal and forms (preferred)
Pay scale dependent on established experience
