FY27 Business Office Assistant
****This role has a start date of July 1st, 2026.
POSITION OVERVIEWThe HR & Accounting Assistant supports the school’s daily operations by providing administrative support in human resources and finance functions. This role ensures compliance with employment regulations, maintains accurate financial records, supports accounts payable processes, and coordinates substitute coverage. The ideal candidate is detail-oriented, highly organized, and able to manage confidential information with professionalism.
DUTIES AND RESPONSABILITIES:

Human Resources Responsibilities:
- Assist with onboarding and offboarding processes.
- Maintain personnel files in compliance with state and federal regulations.
- Process new hire paperwork, background checks, and fingerprint clearance verification.
- Track employee certifications and renewal deadlines.
- Support benefits enrollment and changes.
- Maintain employee attendance, PTO, and leave records.
- Assist with the preparation of HR reports and documentation.
- Ensure confidentiality of all employee information.
- Support compliance with ADA, FLSA, FERPA, and state employment law.
Accounting Responsibilities:
- Support accounts payable and receivable processes.
- Process purchase orders and vendor payments.
- Maintain financial records and documentation.
- Reconcile credit card statements and expense reports.
- Assist with budget tracking and financial reporting.
- Prepare documentation for audits.
- Maintain vendor files and W-9 documentation.
Substitute Coverage Coordination:
- Coordinate teacher substitute coverage
- Maintain substitute list and required documentation
- Prepare substitute folders and daily coverage reports
- Ensure accurate record-keeping of substitute usage
Other Duties:
- Perform other related duties as assigned by the Administration to support the overall mission of the school.
KNOWLEDGE, SKILLS, & ABILITIES
- Bachelor's Degree in Business, Accounting, HR, or related field (or equivalent experience)
- 3+ years of administrative experience (HR or accounting preferred)
- Valid State of Arizona “IVP” Fingerprint Clearance Card
- Basic computer applications, including Microsoft Office Suite, Google Workspace, and student information systems.
- Problem-solving skills for handling routine and unexpected office situations.
- Operate with extreme diplomacy, tact, and professionalism under pressure.
- Manage high-level projects and meet rigid deadlines independently.
- Maintain positive working relationships across multiple agency divisions.
- Adapt quickly to changing priorities and assignments.
- Communication: Exceptional writing, editing, and verbal communication.
- Organization: Effective time management, prioritization, and multitasking.
- Analysis: Statistical analysis, fact-gathering, and problem-solving.
- Interpersonal: High-level customer service and the ability to interact professionally with diverse internal and external stakeholders.

BACKGROUND CHECKS:
- The incumbent in this position will be required to pass a criminal history background check
- Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times
PHYSICAL/ WORK ENVIRONMENT:
- Hear and speak clearly to exchange information in person, on the telephone, and during presentations.
- Use dexterity of hands and fingers to operate a computer keyboard, office equipment, and handle documents.
- See clearly to read, prepare documents and reports, and monitor students as needed.
- Maintain focus and return to tasks after interruptions.
- Sit or stand for extended periods of time in both indoor and outdoor environments.
Have the stamina to work a full day and supervise evening events or attend meetings as required. - Work at a desk, conference table, small student classroom table, or in various meeting spaces.
- Hear and understand speech at normal levels.
- Kneel, bend at the waist, and reach overhead, above the shoulders, and horizontally.
Lift, carry, push, or pull moderately heavy objects as needed.
Move safely throughout the campus, including climbing step ladders, stairs, bleachers, and hallways, indoors and outdoors. - Perform all duties with or without reasonable accommodations, as required by applicable law. TERMS OF EMPLOYMENT:
- Twelve-month employee pay and benefits in accordance with Board policy.
- FLSA: Non-Exempt
