Your Mission: As the welcoming face and voice of Sun Health, the Corporate Receptionist creates a polished, professional, and engaging experience for all who enter or contact the organization. This position plays a pivotal role in reflecting Sun Health's brand and culture by providing exceptional service, managing front-office operations, coordinating administrative functions, and ensuring every interaction reflects the organization's commitment to excellence and care.

This role demands the ability to manage a fast-paced environment with composure, respond effectively to urgent needs, and maintain operational flow with precision. Key Responsibilities:
Front Desk & Guest Experience
- Serve as the professional and welcoming face of Sun Health, delivering a best-in-class experience to all guests, residents, and partners visiting the corporate office.
- Manage the front desk, greeting visitors warmly, ensuring they are directed appropriately, and maintaining a professional presence in the lobby at all times.
- Administer access control by creating and managing badges for employees, residents, visitors, and vendors, ensuring equipment functionality and maintaining appropriate records.
Communication & Information Management
- Manage incoming calls, voicemails, and general inquiries, ensuring each interaction is handled promptly, courteously, and accurately.
- Maintain comprehensive knowledge of Sun Health's programs, services, and leadership to provide accurate and informed guidance to callers and visitors.
- Maintain and update internal staff contact lists and enterprise distribution groups to ensure communication accuracy across the organization.
Administrative & Operational Support
- Provide administrative support across departments, including preparing correspondence, reports, and memos; scanning, copying, and maintaining both paper and electronic files.
- Manage conference room reservations and event scheduling for all corporate office meetings, ensuring coordination and readiness of facilities.
- Support departmental processes by submitting maintenance and housekeeping requests, tracking completion, and communicating updates to staff.
- Assist with the preparation and distribution of internal communications and materials for meetings or enterprise initiatives.
Office Coordination & Resource Management
- Oversee office and hospitality supply management, including ordering and inventory for office, kitchen, and water services within budget parameters.
- Manage postage meter and bulk mail accounts; sort and distribute mail, deliveries, and interoffice correspondence efficiently and accurately.
- Partner with facilities and IT staff to ensure all office systems, lobby technologies, and safety protocols operate smoothly.
Organizational Knowledge & Continuous Improvement
- Demonstrate curiosity and initiative by learning about Sun Health's operations, communities, and strategic initiatives to serve as an informed and credible representative.
- Identify opportunities to improve front desk and administrative workflows, contributing to greater efficiency and enhanced guest and employee experiences.
- Perform additional duties as assigned in support of Executive Services and the broader organizational mission.
Your Qualifications:
- High school diploma or equivalent required; associate degree or certification in Business, Office Administration, or related field preferred.
- Prior experience in reception, administrative support, or customer-facing roles within a professional or healthcare setting.
- Skilled in Microsoft Office Suite and proficient with office equipment and communication systems.
- Must be able to obtain a Type 1 fingerprint card.
