Salary: $80,000–$90,000 annually

Fennemore has an exciting opportunity in its Phoenix office for an experienced, polished, and highly proactive Legal Administrative Assistant to support attorneys in our Trusts, Estates & Wealth Preservation practice.
This role is primarily in-office, requiring four days per week onsite, with the option to work remotely on Fridays after an initial training period.
The ideal candidate brings a strong blend of executive-level support experience, exceptional organizational skills, and a polished client-service mindset. While legal experience is valuable, this role is best suited for someone who operates more like a highly skilled Executive Assistant within a legal environment—someone who takes initiative, anticipates needs, manages priorities independently, and keeps both attorneys and clients exceptionally supported.
This position supports two attorneys and serves as a key point of contact for clients. The role includes managing communications, coordinating schedules and workflows, preparing and organizing documents, handling billing follow-up and proformas, and ensuring day-to-day operations run smoothly and efficiently.
Success in this role requires someone who is detail-oriented, highly organized, tech-savvy, and comfortable taking ownership with minimal oversight . The attorneys value responsiveness, professionalism, and someone who naturally steps in to solve problems and move things forward.
Experience in Estate Planning or Trusts & Estates is a plus, but not required.
What You'll Do
- Provide high-level administrative and legal support to attorneys in a fast-paced practice
- Serve as a primary client contact, delivering polished, professional communication in person, by phone, email, and Zoom
- Anticipate attorney and client needs proactively and independently manage competing priorities
- Coordinate calendars, meetings, conference calls, client appointments, conference rooms, and related materials
- Prepare, revise, format, and organize legal and client documents with strong attention to detail
- Assist with document redlining, track changes, editing, and overall document management
- Manage proformas, billing follow-up, and past-due client communications in coordination with attorneys
- Maintain physical and electronic filing systems and ensure accurate organization of client records
- Track attorney CLE requirements and maintain related records as needed
- Support office operations and additional administrative responsibilities as assigned
What We're Looking For
Required Qualifications
- 5+ years of experience in an Executive Assistant, Legal Administrative Assistant, or comparable high-level administrative support role
- Proven ability to work independently, take initiative, and proactively manage workflows with minimal direction
- Exceptional organizational skills and attention to detail
- Strong interpersonal and communication skills with the ability to interact confidently and professionally with clients and attorneys
- Advanced technical proficiency, including strong Microsoft Office skills (Word, Outlook, Excel, PowerPoint), DocuSign, Adobe/Kofax, and document formatting tools
- Experience with document editing, redlining, and track changes
- Ability to manage sensitive information with professionalism and discretion
- Active Arizona Notary Public commission
- High school diploma or equivalent required
Preferred Qualifications
- Experience supporting attorneys or senior executives in a law firm or professional services environment
- Experience with billing support, proformas, and client follow-up regarding outstanding balances
- Experience with iManage and Intapp
- Estate Planning, Trusts & Estates, or Wealth Preservation experience is a plus, but not required
- Experience working in a client-facing role supporting senior-level professionals
