Job Summary

We are seeking an experienced and customer-focused Customer Service Representative to serve as the primary point of contact for customers, delivering exceptional support throughout the order lifecycle. This role is responsible for providing part, pump, and motor quotations, processing customer orders, coordinating warranty claims, resolving billing and invoice issues, and supporting internal sales and operations teams.

Job Description

• Serve as the first point of contact for customers, providing professional and timely customer service support.
• Prepare and provide accurate quotations for parts, pumps, and motors.
  
• Process customer orders using the ERP-LX Order Entry system.
  
• Maintain Quote Log and Production Order Log tracking databases.
  
• Monitor and communicate order status updates to customers.
  
• Process order changes, including address updates, schedule changes, and carrier modifications.
  
• Assist with warranty claim processing and follow-up.
  
• Support Credit Memo and No Charge request processing.
  
• Prepare and maintain customer communication documentation.
  
• Assist the Sales team with customer support activities and order-related inquiries.
  
• Interface with customers to resolve Accounts Receivable (AR) collection disputes and billing concerns.
  
• Ensure compliance with ISO 9001 Customer Service Procedures and Work Instructions.
  
• Understand and perform Export Compliance responsibilities as required.
  
• Utilize Microsoft Office applications to prepare reports, documentation, and customer communications.
  
• Perform other duties as assigned by the Customer Service Manager.
• Shift: 8am - 5pm M - F (Pacific Time)

Skills Required

• 5–10 years of customer service experience in a manufacturing, industrial, or related business environment.
• Strong financial and accounting aptitude.
• Excellent problem-solving and analytical skills.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.).
• Experience working with ERP systems; ERP-LX experience is a plus.
• Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
• Strong organizational and time management skills.
• Ability to work independently in a remote environment while collaborating effectively with cross-functional teams.

Preferred Skills

• Experience with order entry, quotations, warranty administration, and billing support.
• Knowledge of ISO 9001 quality standards and procedures.
• Familiarity with export compliance requirements.
• Experience supporting sales teams and customer account management.

Education

• High school diploma required
• Associate degree or some college coursework preferred

Pay Rate

• $18 - $25 per hour (Compensation will be offered within this posted range based on experience, skills, and market factors)
