JOB SUMMARY
The Office Administration Assistant, under the direction of the Office Administrator, is responsible for providing varied, complex, and routine clerical duties to support the organization.
MAJOR RESPONSIBILITIES
- Perform clerical duties including typing, filing, and completion of simple forms.
- Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Answer phones, direct calls to appropriate individuals, and prepare messages.
- Copy, sort, and file records related to office activities, business transactions, and other matters.
- Prepare letters, memos, forms, and reports according to written or verbal instructions.
- Purchase, stock, and maintain supplies for Spectrum.
- Manage Administration Office Front Desk and check-in process for patient labs.
- Act as back-up for Clinic Office Front Desk.
- Maintain manual and electronic filing systems.
- Ensure timely flow of information.
- Function efficiently and effectively in a fast-paced professional environment.
- Manage multiple tasks and projects with competing priorities and deadlines.
- Organize and maintain administrative processes essential to this position.
- Coordinate and prepare presentations, meeting arrangements and correspondence.
- Maintain a clean and organized work environment. Always maintain professionalism.
- Maintain confidentiality of all patient, client, employee, protected and proprietary information.
- Complete work with accuracy.
- All other duties as assigned by your supervisor(s).
ALL DUTIES AND REQUIREMENTS MUST BE PERFORMED CONSISTENT WITH THE SPECTRUM MEDICAL PERFORMANCE STANDARDS.
JOB REQUIREMENTS
Education Minimum:
High School Diploma or equivalent
Preferred:
Associate degree in Business Administration or related field
Work Experience
Minimum of three (3) years progressively responsible administrative clerk experience that demonstrates a strong understanding of the required knowledge, skills, and abilities. Prefer experience in the health care industry.

- Experience using EHR programs, *ECW experience preferred*
