Hotel Operations Admin/Coordinator - Royal Palms
Daily responsibilities include, but are not limited to:
- Manage and monitor key hotel systems, including email, Teams, Zingle, Tock, ResortPass, Opera Cloud, Amenity Tracker, Medallia, and Colleague Advantage to support smooth daily operations.
- Maintain and update operational reporting logs such as lost and found records, daily operational reviews, and group resume recaps.
- Serve as a primary point of contact for guest inquiries via phone and email, delivering polished, concierge-style service.
- Support the Food & Beverage team with guest receipt requests, check adjustments, restaurant reservation assistance, and preparation of private dining menu print-outs.
- Review and process VIP and special-category reservations, ensuring all communication, notes, preferences, and special requests are accurately completed.
- Audit upcoming arrivals and ensure all guest preferences, amenities, and special instructions are properly documented and communicated to relevant departments.
- Assist Front Desk, Concierge, and Valet teams as needed to ensure seamless guest service and operational flow.
- Oversee administrative tasks such as maintaining inventory of guest maps, welcome letters, and other printed materials to ensure they are consistently stocked and presentation-ready.
- Previous experience in luxury hospitality, front office, or administrative operations preferred.
- Strong organizational skills with exceptional attention to detail.
- Professional communication skills, both written and verbal.
- Ability to multitask in a fast-paced, guest-focused environment.
- Proficiency with hotel systems (Opera Cloud, MICROS, or similar platforms) is a plus.
- A polished, service-oriented demeanor aligned with luxury brand standards.
