The Administrative Assistant provides direct support to the executive team by assisting with projects, managing scheduling, coordinating meetings, and maintaining accurate document control. This role is responsible for handling confidential information with discretion, ensuring deadlines are met, and assisting with the daily coordination of departmental activities. The Administrative Assistant will play a critical role in conducting task specific research, streamlining workflows, supporting communication across teams.

What You’ll Do
- Support the operations of the executive team
- Edit, and organize documents, contracts, applications, submissions, and department communications
- Maintain digital and physical filing systems with strict confidentiality and version control
- Track key deadlines and filing requirements across multiple states and departments
- Assist with internal audits, documentation, and research
- Coordinate meetings with external partners, regulators, and internal stakeholders
- Manage travel arrangements and prepare agendas, summaries, and meeting notes
- Work closely with leadership to support strategic and operational goals
What You’ll Bring
- 1-2 years of administrative support experience
- Construction permit experience required
- Experience managing confidential files and working within high-compliance environments
- Excellent organizational skills and unwavering attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Calendar)
- Ability to prioritize multiple tasks in a fast-paced, evolving work environment
- Team-first attitude, professional discretion, and a proactive mindset
- Must be 21+ years of age
- Must be able to obtain and maintain a Facility Agent Card in Arizona

A Few Things You’ll Need
- High school diploma or equivalent required
- 4-year college degree, preferred
- Must be comfortable working on a computer for extended periods
- Occasionally required to stand, walk, or lift up to 25 lbs
- Must maintain confidentiality and compliance at all times
