The Goldwater Institute is seeking a Legal Office Assistant to be an integral part of the Institute’s litigation and operation teams. The Legal Office Assistant will execute a variety of duties including legal file maintenance, editing, drafting, tracking correspondence and communications, case filings, basic administrative assignments, and calendar management.
The Legal Office Assistant should be a person with a can-do attitude that has excellent organizational skills and the ability to multi-task with attention to detail. Top candidates will have at least two years of legal administrative support experience and be proficient in Microsoft Office and Adobe Acrobat.
Responsibilities
- Comprehensive organizational skills that reflect ability to perform and prioritize multiple tasks with attention to detail and deadlines
- Handle and effectively manage logistics of both paper and electronic-based legal filings
- Ability to multi-task and effectively provide administrative support for litigation team and Institute staff
- Ability to work in a fast-paced professional environment
- Experience calendaring and preparing key meetings with staff - this includes document and/or presentation preparation & dissemination, meeting reminders, room set up and virtual meeting detail coordination
- Manage robust public records project, including filing, tracking, and database management
- Oversee legal correspondence, including review of outgoing and incoming correspondence, mailing, tracking, and data base management.
- Other duties as assigned to include general support of office operations including but not limited to answering phones, greeting guests, monitoring supplies, preparing meetings, and other general/recurring administrative duties as assigned.
Qualifications:
- At least two years of legal administrative support and e-filing experience
- Proficient in Microsoft Office Outlook, Word & Excel (to include formatting, basic formulas, filters & sorting, etc.), and Adobe Acrobat
- Exceptional organizational skills with an attention to detail
- Strong written and verbal advocacy skills including research and editing
- Ability to work in a fast-paced environment, often with tight deadlines
- Strong work ethic, a can-do attitude, and sense of humor
