Position Overview

The Assistant to VP – Engineering & B2B Sales will provide comprehensive administrative, coordination, and analytical support to the Vice President overseeing both Engineering and B2B Sales operations. This role requires a highly organized and proactive individual capable of managing multiple priorities, ensuring efficient communication between cross-functional teams, and assisting in project tracking and sales initiatives.

The ideal candidate will have strong administrative and technical coordination skills, with the ability to understand both engineering operations and sales processes.

Key Responsibilities

  • Provide administrative and operational support to the VP of Engineering & B2B Sales.
  • Coordinate meetings, calls, and appointments; manage calendar and task prioritization.
  • Prepare reports, presentations, and documentation related to engineering projects and B2B sales.
  • Assist in tracking project timelines, deliverables, and sales opportunities.
  • Maintain organized records of contracts, project documentation, and client communications.
  • Support cross-functional collaboration between engineering, production, and sales teams.
  • Help prepare quotations, proposals, and client correspondence for B2B partnerships.
  • Monitor progress of ongoing projects and provide status updates to the VP.
  • Handle confidential information and internal communications with discretion.
  • Assist with expense tracking, travel coordination, and meeting logistics.
  • Coordinate with internal departments (HR, Finance, MFG) to facilitate project and sales-related needs.

Requirements

  • Bachelor’s degree in Business Administration, Engineering Management, or related field.
  • 2–4 years of experience as an Executive Assistant, Project Coordinator, or Sales Admin.
  • Strong understanding of B2B sales processes.
  • Excellent written and verbal communication skills.
  • High proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook).
  • Familiarity with CRM and project management tools (Zoho, Salesforce, Monday.com, Asana, or similar).
  • Strong attention to detail, organizational skills, and multitasking ability.
  • Professional demeanor and ability to handle confidential matters with integrity.

Preferred Qualifications

  • Experience in the pharmaceutical, manufacturing, or healthcare industry.
  • Exposure to both technical and sales environments.
  • Experience supporting C-level or senior leadership roles.
