Salary: $65,000/year; Full benefits

The Boyce Thompson Arboretum is seeking an Accountant that is passionate about working for a nonprofit, loves the great outdoors and working with a dedicated team of people. The accountant reports to the Executive Director and is responsible for daily, weekly, and monthly accounting functions, such as accounts payable and receivable posting, deposit posting, cash management and payroll processing oversight. Additional responsibilities include resolving vendor issues, performing maintenance of various supporting schedules, monthly department budget reconciliation and grant reporting. The Arboretum has a $5.4 million operating budget and employs nearly 40 staff. An outside consulting firm serves as a fractional CFO. The accountant reports to the Executive Director and interfaces and collaborates with the outside consulting firm. Remote work up to 2 days a week is available.

RESPONSIBILITIES:

Provides the following for Accounts Payable Activities:

  • Enters and pays bills, coordinates the timing and organization of disbursements
  • Manages vendor information, including W-9 information to assist in 1099 processing at year-end.
  • Approves credit card transactions and reconciles monthly credit card statements.
  • Keeps records on non-sale distributions

Provides the following for Accounts Receivable

  • Records Daily receipts from Site Admissions/sales and posts journal entries to QuickBooks. Reconciles to the Bank.
  • Reconciles differences between Altru and QuickBooks
  • Posts contribution and membership payments into QuickBooks, reconciles and updates donor lists for each receipt.

Banking Responsibilities

  • Conducts banking/cash management, including transfers among accounts, to cover payroll and invoices.

Payroll

  • Interface with outsourced payroll representative and communicates any changes as needed. Provide final review and sign off on bi-weekly payroll.
  • Works closely with outsourced accounting firm to troubleshoot any issues related to payroll.

Business Management

  • Assists Controller (outside contracted role) with ensuring the accuracy and compliance of financial records and reporting in accordance with accounting standards and US GAAP.
  • Assists with month end and year end close processes including preparing journal entries and reconciliation.
  • Assisting with the preparation and monitoring of budgets, and participating in forecasting activities
  • Assists with general ledger reporting
  • Prepare staff reports (on demand), including profit and loss reports, grant reports, budget to actual and reconciliation reports.
  • Assists in preparing information for the annual audit conducted by an independent accounting firm.
  • Reviews documents for retention per organization’s document retention policy.
  • Tracks vendor certificates for worker’s compensation and follows up on missing certificates.
  • Coordinates commercial insurance renewals.
  • Prepares various reporting as required by the State and Federal requirements.
  • Works collaboratively with the HR Manager on reporting requirements and other needs.
  • Serves on the Executive Team and provides support on financial activities to the Executive Director.
  • Serves as Manager on Duty for the garden as needed.

Requirements

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in advanced accounting or related field from an accredited institution. CPA highly desired.
  • General accounting knowledge required.
  • Nonprofit accounting knowledge preferred (will train).
  • Experience working in QuickBooks preferred.
  • Three (3) years’ minimum experience of working in an advanced accounting environment.
  • Must have a valid AZ Driver’s License or ability to obtain one. Clean driving record required.
  • Clean background and credit check will be required.

  • Must have a valid AZ Driver’s License or be able to obtain one, clean driving record required.
  • Ability to maintain confidentiality in a variety of aspects including but not limited to conversations, data records, files and other information that has limited access.
  • Ability to effectively utilize a variety of electronic programs and databases.

PHYSICAL REQUIREMENTS

  • Ability to operate computer and phones.
  • Must be able to do basic office tasks such as typing, writing, using a computer and other electronic equipment.
  • Must be able to stoop, bend, squat, sit on floor and ambulate over uneven floor surfaces including stairs and steps.
  • Must be able to visually and auditory assess and interact with staff and vendors
  • Fully functional vision is required (prescription lenses are acceptable).
  • English proficiency.
  • Ability to work at workstation for 8 hours a day.
  • The ability to attend meetings held throughout the Arboretum.
  • Occasionally required to lift and move items up to 10 pounds.
