Job Description



The Administrative Assistant to the Chief Medical Officer (CMO) is a key support role within the clinical leadership team of NATIVE HEALTH. The Administrative Assistant provides high-level administrative, organizational, and operational assistance to the CMO and, by extension, supports the administrative needs of up to 20 medical providers including Physicians, Nurse Practitioners, and Physician Assistants. The role demands exceptional attention to detail, multitasking capabilities, and a high degree of discretion when handling sensitive and confidential materials.

Essential Responsibilities:

  • Maintain strict confidentiality of sensitive and private information across all job duties
  • Provide direct administrative support to the CMO, including calendar management, email correspondence, and meeting coordination
  • Assist with recruitment activities for medical providers, including scheduling interviews and preparing materials
  • Participate in and support meetings both in-person and virtually, including taking minutes, generating follow-up tasks, and distributing related materials
  • Plan and coordinate recurring and ad hoc meetings, trainings, and events involving medical providers and interdisciplinary teams
  • Track and manage multiple projects simultaneously, with a demonstrated ability to prioritize competing deadlines and deliverables
  • Prepare, format, and edit professional documents, presentations, and reports with a high level of proficiency
  • Generate reports and summaries from specific software applications as assigned
  • Support CMO and clinical leadership in managing the logistical and operational needs of the medical team
  • Communicate effectively, both orally and in writing, with internal and external stakeholders
  • Assist with data entry, spreadsheet management, and document filing
  • Maintain digital and physical filing systems and databases
  • Occasionally travel locally for meetings or events as needed

Qualifications

  • Associate’s degree or higher in business administration, healthcare administration, or a related field.
  • Experience in a community health center or healthcare setting.
  • Familiarity with electronic health record (EHR) systems specifically NextGen and Phreesia.
  • Strong working knowledge of Microsoft Outlook and Office Suite, 365 (Excel, Word, PowerPoint, etc.), including advanced functionality of Excel (e.g., formulas, filters, pivot tables, charts)
  • Demonstrated proficiency in reading, writing, and conversing in English
  • Strong written and verbal communication skills with attention to detail
  • Proven ability to manage multiple projects with varying deadlines and priorities
  • Excellent time management skills and ability to complete tasks on-time without supervision
  • Experience assisting a clinical or healthcare leadership team is preferred
  • Event planning or coordination experience for professional meetings or training
  • Ability to assist in the administrative aspects of provider recruitment and onboarding processes
  • Valid and unrestricted driver’s license
  • Ability to pass company-required background checks and meet all employment eligibility standards

Standard Employment Requirements:

  1. Must possess a valid and unrestricted Arizona driver’s license (within 30 days of hire if applicant is from out-of-state) with no DUI/DWI or reckless driving convictions in the last five years. No more than two at-fault accidents in the last three years. Must maintain a valid Arizona driver’s license during employment. Must be insurable under NATIVE HEALTH’s liability auto policy.
  2. Must pass a criminal background check and obtain a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment and retain a valid card while employed with NATIVE HEALTH.
  3. Must pass substance abuse testing upon employment and submit to random testing during employment.
  4. Must provide an updated immunization (IZ) record at the time of employment.
  5. Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide an annual update.
  6. Must obtain Basic Life Support (BLS) certification within (90) calendar days of employment and maintain certification during employment.
