Primary Role: The Project Coordinator supports the Project Managers to keep
projects running smoothly and within budget without compromising safety and
quality standards. Handling first level customer relations and communications, and
basic planning. Additional tasks include preparing budgets, new project set up, and
technical documentation. Position requires typing, answering phones, filing, word
processing and database management. Department specific duties will vary.

Responsibilities:

  • Answers incoming telephone calls and route to specific individual or department.
  • Email customers for information, coordination, and follow up purposes.
  • Coordinates/initiates the typing of job specific documentation, and inter-office
    communication.
  • Escalates project problems to Project Manager for prompt resolution of any project
    problems to ensure that project is completed on time and on budget.
  • Assists management in monthly forecasting and job cost reports.
  • Responsible for updating Installation company manuals as needed.
  • Maintains current project plans and specifications.
  • New project set up, creating change orders, project liens, schedule of values, and
    invoicing projects on a weekly basis.
  • Assists Project Manager in maintaining project schedules in conjunction with the
    customer’s requirements.
  • Maintains calendar and schedules various meetings and appointments.
  • General Administrative support for projects (filing, typing, copying, etc.)
  • Serves as liaison between Company corporate and field staff, as well as customers,
    applicants, etc.
  • Keeps superiors and subordinates informed of progress.
  • Maintains all records of project status, changes, material flow and other control records
    and supervises the preparation and processing of reports for internal and external use.
  • Assists in the preparation of base data required for monthly job billing.
  • Serves as liaison between Company corporate and field staff, as well as customers,
    applicants, etc.
  • Maintains current knowledge of Company and Company operations,

policies, and organizations.

  • Help effect change as needed to make for a pleasant working environment, improve
    customer relations, and create a more profitable company.
  • Maintain a clean and orderly area.
  • Other duties as required or assigned by company management.

Minimum Qualifications:

  • Shall possess a high school diploma or equivalent and be able to type a minimum of 40 wpm.
  • Additional training or experience in customer service or computer-related skills is a requirement.
  • Basic technical knowledge in a related department or field is recommended.
  • This person must be able to manage multiple tasks simultaneously, be familiar with standard business documentation to assist with reports, agendas and meeting notes.
  • Must demonstrate planning and organizational skills to ensure that assigned tasks are completed on or before the specific due date.
  • Must be proficient with {software, i.e.: MS Word, Excel, Access, PowerPoint, and Cloud
    Based Programs.
  • 3-5 years of technical school or similar work experience.

Other:
Responsible for having a reliable source of daily transportation.

Physical, Mental and Environmental Requirements:
1. Employees are required to stand, walk, climb, sit and use hands and fingers.
2. Some light lifting of objects is required.
3. Reaching, grasping and carrying activities are also required.
4. The noise level in the work environment is usually moderate.
5. Although most work is performed inside, occasional outside activities are subject to
seasonal temperature fluctuations.

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
